Job description

Overview
Reporting to the Operations Manager, the Operations Coordinator provides high-level administrative and operational support to leadership teams across clinical sites. This role ensures smooth day-to-day administrative functions, supports project tracking, maintains documentation, and assists in the coordination of operational initiatives
Responsibilities
Essential Functions
  • Maintain and update operational documentation, SOPs, and project trackers.
  • Schedule and coordinate leadership meetings, prepare agendas, and document minutes.
  • Assist in the preparation of reports, presentations, and internal communications.
  • Support data entry, dashboard updates, and routine reporting for operational KPIs.
  • Liaise with site managers to gather updates and ensure timely follow-up on action items.
  • Manage calendars, travel arrangements, and logistics for operational leadership.
  • Maintain filing systems and ensure compliance with administrative protocols.
  • Prepare and edit correspondence, presentations, and internal documents.
  • Attend meetings and prepare minutes.
  • Coordinate trainings.
  • Perform other duties as assigned.

Qualifications
Minimum Education: High School Diploma or equivalent (higher degree accepted)
Preferred Education: Associates Degree (higher degree accepted) in Business Administration, Healthcare Administration, or related field
Minimum Experience: 2 years in administrative support, perferably in health or public sector
Preferred Experience: Supporting senior leadership, managing documentation, and coordinating cross-functional projects
