Job description

The Operations Assistant resembles an administrative assistant with a strong focus in healthcare. If you absolutely love working with children and interacting with their families, this is the role for you! Successful candidates will understand general office administrative duties and how to keep a center clean and running efficiently. They will also understand what it means to be the first point of contact for the center and how to initiate and nurture relationships with our clients, their families, prospective clients and current employees. Their ability to leave a great first impression can directly impact the success of the center.
Must be available Monday through Friday - 7am-3:30pm (with 30 minute lunch)/4pm (with 1-hour lunch)
Salary range according to experience $$20 - $25 per hour per hour.
This is a temporary position anticipated to last potentially until end of 2026 but that timeline will be based on business needs. While there is a possibility that this role may transition to a regular full-time position, any such opportunity is contingent upon business needs, center staffing requirements, budget approval, and the employee's performance. Conversion to a full-time position is not guaranteed.
Responsibilities
Customer relations management:

  • Coordinating and processing client referrals
  • Trouble shooting client authorizations.
Data maintenance:
  • Updating and maintaining client database and scheduling appointments
  • Conducting daily audits to ensure data integrity
Staff support:
  • Assist with onboarding new team members
  • Collaborate with Learning and Development department to deliver annual and ongoing staff training
  • Follows all policies and procedures, including but not limited to, HIPAA, confidentially and mandated reporting standards as set by the clinical team.
Qualifications
  • At least two years experience working in a health care setting, Applied Behavior Analysis preferred
  • Bilingual in English and Spanish preferred.
  • Valid CPR certification preferred
  • Knowledge of general health insurance billing preferred
  • Strong understanding and comfort in using Microsoft Product Suite - Outlook, Word, Excel
  • Ability to bend, kneel, crouch, and spend time on your feet as well as an ability to lift items up to 25 lbs on occasion.
