Job Overview

Norluxe Realty is seeking a detail-oriented, proactive, and organized Operations Assistant to support our growing team. In this role, you will be the backbone of our daily office workflows, ensuring that administrative, logistical, and transactional processes run seamlessly.  The ideal candidate is a skilled multitasker who can manage internal coordination, maintain immaculate property and client records, and support our agents and management team. Key Responsibilities

1. Administrative & Office Support

  • Manage Day-to-Day Operations: Oversee general office functions, ensuring an organized, welcoming, and fully-functioning workspace.
  • Document & Record Management: Maintain, update, and secure digital and physical filing systems, including client databases, property listings, and transaction trackers.
  • Correspondence & Scheduling: Handle incoming and outgoing correspondence (emails, phone calls, mail) and coordinate executive calendars, team meetings, and client appointments.
  • Inventory Control: Monitor and order office supplies, marketing collateral, and tech equipment as needed.  

2. Real Estate Transaction & Listing Support

  • Listing Coordination: Assist agents with uploading and updating property listings across multiple real estate portals, MLS, and company social channels.
  • Transaction Documentation: Track real estate paperwork, contract deadlines, escrow updates, and closing documents to ensure compliance with company and regulatory standards.
  • Client & Vendor Liaison: Serve as a secondary point of contact for clients, photographers, inspectors, contractors, and title companies, ensuring timely communication and exceptional customer service.  
     

3. Process Improvement & Reporting

  • Data & Metrics: Assist management in compiling weekly/monthly performance reports, tracking key operational metrics, and analyzing administrative workflows.  
  • System Optimization: Propose and help implement new tools, templates, or standard operating procedures (SOPs) to enhance overall team productivity.  

Qualifications & Skills

  • Experience: Minimum of 1 to 3 years of experience in an administrative support, office coordination, or operations role—preferably within real estate, property management, or a fast-paced corporate environment.
  • Education: Associate’s or Bachelor’s degree in Business Administration, Operations Management, Real Estate, or a related field (equivalent work experience will also be considered).  
  • Technical Proficiency: Advanced computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience with CRM software, MLS, or real estate transaction management platforms is a strong plus.
  • Communication Skills: Exceptional verbal and written communication skills with a polished, professional demeanor.  
  • Organizational Mastery: Superior multi-tasking skills, sharp attention to detail, and the ability to prioritize competing tasks under tight deadlines.  
  • Discretion: High level of integrity when handling sensitive client data, financials, and confidential real estate transactions.
