Accounting & Payroll Specialist

Position Summary

Haven Group CPA & Advisors is seeking an organized, detail-oriented, and client-focused Accounting & Payroll Specialist to join our growing team. This role combines payroll processing, bookkeeping, client support, and administrative coordination to help ensure exceptional service for our clients.

The ideal candidate will have experience with payroll and bookkeeping, strong communication skills, and a positive, proactive attitude. We are looking for someone who enjoys helping clients, thrives in a fast-paced environment, and is eager to learn and grow professionally. While experience is preferred, we value a strong work ethic, attention to detail, and a willingness to learn.

Hours: Monday – Friday, 9:00 AM – 5:00 PM
Occasional overtime and Saturdays may be required during peak seasons.

Responsibilities

Payroll & Compliance

  • Process multi-state payroll for multiple clients while ensuring compliance with federal, state, and local regulations.
  • Prepare and file payroll tax returns and payroll-related reports.
  • Process W-2s, 1099s, garnishments, levies, child support orders, and other payroll deductions.
  • Administer and reconcile benefit deductions, including health insurance and retirement plans.
  • Research and resolve payroll discrepancies, notices, and tax issues in a timely manner.
  • Maintain accurate payroll records and employee information.

Bookkeeping & Accounting

  • Maintain and reconcile general ledger accounts.
  • Assist with monthly, quarterly, and annual accounting close processes.
  • Prepare and review financial data to ensure accuracy and completeness.
  • Assist with bookkeeping services for clients, including account reconciliations and data entry.
  • Work with firm staff to support client accounting needs and ensure timely completion of projects.
  • Maintain accurate records within accounting and practice management software.

Client Service & Administrative Support

  • Serve as a primary point of contact for client questions related to payroll and bookkeeping.
  • Communicate professionally with clients via phone, email, and client portals.
  • Follow up with clients regarding missing information and outstanding requests.
  • Assist with onboarding new clients and gathering required documentation.
  • Monitor incoming client documents and ensure proper organization and filing.
  • Schedule appointments and assist with calendar coordination as needed.
  • Organize, scan, and maintain client files and internal records.
  • Collaborate with staff across multiple office locations to support daily operations.
  • Assist with workflow tracking, project status updates, and special projects as assigned.

Qualifications

Preferred Qualifications

  • Minimum of 2-3 years of payroll, bookkeeping, accounting, or related experience.
  • Experience processing payroll and payroll tax filings.
  • Knowledge of federal and state payroll regulations, withholdings, deductions, and garnishments.
  • Experience with QuickBooks Online/Desktop and payroll software.
  • Associate's or Bachelor's degree in Accounting, Finance, Business, or related field (preferred but not required).
