About The Role

The Operations Assistant supports the daily execution of HDD construction projects across the full project lifecycle. This role is the operational backbone between field crews, the operations director, and the administrative/finance function - ensuring that projects are properly documented, resources are coordinated, and information flows where it needs to go without slipping through the cracks.


This is a full-time, office-based position with occasional field work. Our office environment is casual, yet structured; and generally calm and drama-free. We strive to work at a fast yet sustainable pace with occasional periods of higher intensity. We encourage collaboration and asking questions if you are unsure of anything.


Primary responsibilities include (but are not limited toโ€ฆ):

Operations & Field Crew Support

  • Support daily crew and rig scheduling in coordination with the Operations Director
  • Coordinate equipment transfers between active jobsites
  • Track crew certifications, training records and license renewals
  • Assist with mobilization planning: materials staging, equipment readiness, site access
  • Serve as a point of contact between the field and the office for day-to-day operational needs

Project Logistics & Documentation

  • Collect and track project production metrics
  • Manage utility locate tickets
  • Set up and maintain project files from contract award through closeout
  • Assist in preparation and submission of closeout documentation packages
  • Maintain prevailing wage compliance records and assist with certified payroll support
  • Coordinate travel and accommodations for non-local employees


Secondary responsibilities include (but are not limited toโ€ฆ):

Equipment, Fleet & Asset Tracking

  • Track equipment utilization by project and crew
  • Coordinate third-party equipment rentals: procurement, delivery and return
  • Manage fleet vehicle registrations and renewals
  • Support DOT compliance tracking: registrations, annual inspections and certifications
  • Maintain consumables and materials inventory in coordination with the Yard Supervisor
  • Assist with maintenance recordkeeping in support of the company mechanic


QUALIFICATIONS

Required

  • 2+ years of experience in a construction operations, project coordination or administrative role
  • Demonstrated ability to manage multiple active projects and competing priorities simultaneously
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project management or scheduling software a plus
  • Strong written and verbal communication skills โ€” comfortable interfacing with field crews, GCs and internal management
  • Highly organized with attention to detail in documentation and recordkeeping
  • Valid driver's license and reliable transportation; occasional field visits required

Preferred

  • Prior experience in underground utility, pipeline or HDD/trenchless construction
  • Familiarity with construction contract documents, change order processes and submittal workflows
  • Experience with prevailing wage and certified payroll compliance
  • Working knowledge of construction accounting or job cost software
  • OSHA 10 Construction certification or willingness to obtain


Compensation

Base Pay Range: $22-28/hr DOE (~$60k-75k/yr based on a 50 hr workweek)

(eligible for quarterly profit-sharing bonuses)
