CTL Engineering's Infrastructure Solutions Division is hiring an Operations Assistant!

CTL Engineering (www.ctleng.com) is an award winning, full service consulting engineering firm with (15) locations across OH, IN, WV, KY, NC, SC, and VA with a rich history over our (99) years in business. We provide civil/site design and land surveying, environmental, geotechnical, construction administration & inspection, accident reconstruction, roofing/building envelope, A/V system design, troubleshooting & installation, transportation design (bridge/roadway), and specialized testing services to the construction industry.

Highlights:

  • This role will primarily support the Executives and day-to-day operations of our Infrastructure Solutions Group, based out of our Charleston, WV office.
  • This individual will play a key role in ensuring smooth daily operations and providing top-tier administrative support.
  • As the face of our Infrastructure Division, the ideal candidate must be polished, poised, and capable of handling multiple responsibilities with efficiency and discretion.

Key Responsibilities:

  • Provide comprehensive administrative support to the Infrastructure Management Team, including calendar management, travel coordination, and document preparation.
  • Act as the first point of contact for executives, screening calls, emails, and visitors with professionalism.
  • Manage and set up conference spaces prior to meetings, ensuring all materials and technology are prepared.
  • Monitor office supplies and order new stationery, furniture, appliances, and electronics as required.
  • Answer phones and greet guests, ensuring a welcoming and professional experience.
  • Assist in coordinating company events, meetings, and special projects as required.
  • Handle confidential information with discretion and professionalism.
  • Assist with Proposal writing, editing, and submittals.
  • Prioritize and manage multiple tasks in a fast-paced environment.
  • Perform other duties as assigned to support executive operations and office functionality.

Qualifications & Skills:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of an organization.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant office software.
  • Professional demeanor and polished appearance.
  • High level of discretion and confidentiality when handling sensitive information.
  • Ability to work independently while also being a team player.
  • Bachelor's degree preferred, but not required.
