JOB SUMMARY
Operations Administrators (OAs) at Granite Hills Group serve as the administrative partner to the General Manager for each branch. Areas of responsibility include processing accounts receivable, accounts payable, payroll review and approval, purchasing, and general administration. Key responsibilities of this position include but are not limited to the following:
  • Coordinate and maintain branch administrative processes, ensuring information, documentation, and records are accurate, organized, and completed in a timely manner.
  • Review electronic timesheets daily to ensure accuracy of hours, job allocations, and employee information, and submit for processing by established deadlines.
  • Support employee onboarding and offboarding by coordinating required paperwork, system access, documentation, and communication with appropriate internal teams.
  • Create purchase orders, manage receipts, and review and submit vendor invoices.
  • Own the collection process from start to finish, including posting cash.
  • Understand and manage administrative processes executed within our operating system, Aspire.
  • Provide initial and ongoing training and support of systems to production team members.
  • Manage the month-end close process in Aspire, meeting deadlines and ensuring accuracy of transactions.
  • Generate accurate invoices according to schedule and present to customers in a timely manner.
  • Review vendor invoices requiring additional assistance with branch teams, identify action plans and follow-up.
  • Assist sales team with administrative and estimating functions as needed.
  • Fluency in both Spanish and English is helpful in this position but not required for the right candidate.
