Administrative Assistant
Located in the heart of downtown Chicago the Ounce of Prevention Fund is a mission driven nonprofit that supports early childhood development in underprivileged communities. We are seeking an experienced and outstanding Administrative Assistant who will provide administrative support to the Grantee Support Services leadership and team.
Reporting to the Program Operations Manager you will:
• Provide assistance to the Grantee Support Services team including scheduling, meetings, travel arrangements, ordering supplies and processing invoices, expense reports, and time sheets.
• Coordinate logistics for workshops, training events, and other designated meetings.
• Enter invoice requests and processing per established process. Process contracts and amendments according to purchasing policies and procedures.
• Revise division documents including but not limited to manuals and training materials, and updating division's materials within Outlook public folders.
• Assist with clerical related duties for the division such as photocopying, faxing, filing, collating and data entry.
• Assist with drafting of routine division correspondents such as memos, letters, and emails.
• Ensure phone calls are redirected accordingly and take messages as needed.
Qualifications include:
• Associate Degree in Public Administration, Communication, or Business Management (or related field). Bachelor's Degree Public Administration, Communication, or Business Management (or related field) preferred.
• Minimum of one year of experience in coordinating office operations and secretarial/clerical experience, including experience with computers in a Microsoft office environment, and using basic office equipment.
• Intermediate Level of Proficiency with Microsoft Office suite and ability to learn and master other computer technology/software programs as needed.
