About the Opportunity:
The HR/Finance Administrative Assistant provides high level administrative support to department leadership, including the Chief Financial Officer, Chief HR Officer and related leadership teams. This position plays a key role in supporting department operations, coordinating complex meetings and public processes, and preparing official financial publications. The ideal candidate is a proactive self starter who is confident engaging with directors and senior leaders, and who can keep shifting priorities organized and moving forward. This is a unique position that supports both departments equally.
Key Responsibilities
  • Provide administrative support to Executive Leadership, including calendaring and tracking deadlines.
  • Coordinate recurring department meetings by managing invitations, logistics, technology, agendas, and materials.
  • Support financial cycles and publications, including proofreading and preparing reports for public release.
  • Assist with HR projects, departmental calendaring, file retention, and general administrative needs.
  • Manage physical and digital file systems and support coordinating department workflows.
  • Provide recruitment support, including interview scheduling and document preparation.
  • Support onboarding new staff and act as a point of contact for administrative needs.
  • Coordinate activities related to the Board of County Commissioners, including work sessions, board meetings, and Budget & Audit Committee meetings.
  • Coordinate and submit agenda requests and documentation and manage posting and required public notices.

Ideal Knowledge, Skills, and Abilities (KSAs):
  • Knowledge of general administrative practices, including financial and personnel support, purchasing basics, project coordination, and standard office procedures.
  • Understanding of budgeting and basic accounting concepts, with the ability to support financial publications, maintain organized filing systems, and ensure accuracy in documents and reports.
  • Proficiency with Microsoft 365 and standard office technology, including strong skills in document creation, spreadsheets, calendaring, and digital/physical file management.
  • Strong written and verbal communication skills, including business writing, proofreading, agenda development, and producing clear, accurate, and professional materials.
  • Skill in coordinating complex administrative workflows, managing shifting priorities, and maintaining confidential or sensitive information with accuracy.
  • Ability to interpret and apply organizational policies and procedures, research information, analyze administrative issues, and recommend practical solutions.
  • Strong interpersonal and customer-service skills, with the ability to work effectively with executive leadership, staff, external partners, and diverse groups using tact and professionalism.

Minimum Qualifications
Education and Experience:
  • Graduation from high school or possession of a G.E.D. equivalent; AND
  • Five (5) or more years of progressively responsible administrative experience related to office management or a major administrative function for a department or division.
  • An associates degree or professional certification in business administration, public administration, or related field may substitute for two (2) years of required work experience.
