About Rose City Rollers

Rose City Rollers is the world's largest roller derby league and a one-of-a-kind nonprofit community organization. With 450+ members, 18+ teams, youth and adult programs, and more than 60 events annually, we create empowering experiences centered around sport, belonging, leadership, and community.


We're looking for an Operations & Administration Manager to help strengthen the systems, structure, and communication practices that support a sustainable, high-functioning organization while helping staff, skaters, volunteers, and leaders have an excellent experience within RCR.


This is a collaborative role for someone who enjoys solving problems, improving systems, supporting people, and finding smarter ways to work.


The Role

The Operations & Administration Manager oversees many of the day-to-day administrative and operational systems that keep RCR running smoothly. This role combines hands-on administrative work with systems leadership, staff management, process improvement, and organizational coordination.


Success in this position requires someone comfortable owning detailed administrative work while continuously improving systems, workflows, automation, and communication across the organization.

The ideal candidate is organized, adaptable, tech-savvy, collaborative, calm under pressure, and excited about helping a mission-driven nonprofit work better and smarter.


This role supervises 2-4 administrative/program support staff and works closely with volunteers, department leaders, and the Executive Director.


Key Responsibilities

Operations, Systems & Administration

  • Manage and improve RCR's operational systems, workflows, and internal processes.
  • Support organizational tools, including ClickUp, Microsoft 365, SharePoint, Slack, forms, calendars, and related systems.
  • Maintain organization-wide calendars, documentation, and administrative coordination systems.
  • Help streamline repetitive tasks through automation, templates, technology, and process improvements.
  • Support SOP development and documentation across departments.
  • Coordinate meetings, scheduling, notes, follow-up tasks, and accountability systems.
  • Assist with organizational reporting, surveys, and operational planning.


Staff & Team Support

  • Supervise and support 2-4 staff members in administrative and member-support roles.
  • Help create a positive, collaborative, and accountable staff culture.
  • Support onboarding, training, communication systems, and staff workflows.
  • Help staff prioritize effectively and improve operational efficiency.
  • Foster a strong experience for both staff and league members through responsive systems and communication practices.


Volunteer Collaboration & Organizational Support

  • Work collaboratively with experienced volunteers supporting systems, operations, and organizational infrastructure.
  • Help identify opportunities for volunteer involvement and leadership.
  • Build healthy working relationships between staff and volunteers.
  • Model collaborative leadership and help the team effectively engage volunteer expertise.


Communication & Coordination

  • Help improve internal communication systems and organizational clarity.
  • Support cross-department coordination and information sharing.
  • Help ensure skaters, volunteers, and staff can easily find information and navigate organizational systems.
  • Support communication practices that reduce confusion and improve transparency.


Financial & Organizational Support

  • Support budgeting, tracking, reporting, and administrative financial workflows alongside the Executive Director and Bookkeeper.
  • Help ensure administrative systems support long-term sustainability and growth.


What You Bring

  • 3+ years of experience in operations, administration, project coordination, or nonprofit management.
  • Strong organizational and prioritization skills.
  • Experience supervising staff or leading teams.
  • Comfort balancing detailed administrative work with higher-level systems thinking.
  • Strong problem-solving skills and a continuous improvement mindset.
  • Experience with project management and organizational tools (ClickUp, Asana, Monday, Airtable, etc.).
  • Comfort learning and improving technology systems and workflows.
  • Strong written communication and follow-through.
  • Ability to work collaboratively with both paid staff and volunteers.
  • Calm, adaptable, and solutions-oriented in a fast-moving environment.
  • Passion for mission-driven work, community organizations, sports, youth programs, or nonprofits.


Schedule & Requirements

  • Full-time, salaried, exempt, approximately 40 hours/week.
  • Primarily remote, with required in-person meetings, event support, and occasional evening/weekend responsibilities.
  • Portland-area based or willing to relocate.
  • Reliable personal computer, cell phone, and transportation required.


Compensation & Benefits

  • Salary range: $58,000-$68,000 DOE
