Job Title: Administrative Assistant Location: Arlington, Virginia Type: Contract To Hire Compensation: $30.00 per hour Contractor Work Model: Onsite Security Clearance: Capable of obtaining a DoD Security Clearance

Overview

We’re looking for a highly organized and proactive Administrative Assistant to support senior leadership in a fast-paced, collaborative environment. In this role, you’ll play a key part in keeping operations running smoothly—managing schedules, coordinating meetings, and ensuring seamless communication across multiple teams and organizations.

What You’ll Do

Executive & Team Support

  • Provide day-to-day administrative support to senior leadership
  • Coordinate activities and follow-ups across multiple teams and stakeholders
  • Anticipate leadership needs and proactively prepare for upcoming priorities

Calendar & Schedule Management

  • Manage complex, frequently changing calendars using Microsoft Outlook
  • Coordinate meetings, conference rooms, and visitor schedules
  • Communicate schedule changes quickly and effectively to all participants

Meetings & Coordination

  • Organize and support team and leadership meetings
  • Prepare agendas, attend meetings, and capture notes and action items
  • Track and follow up on key deliverables and action items

Travel & Expense Management

  • Arrange domestic and international travel, including logistics and itineraries
  • Prepare and submit expense reports accurately and on time
  • Anticipate potential travel challenges and plan alternatives

Office Operations & Technology

  • Support the setup and operation of audiovisual and telecommunications equipment
  • Help maintain smooth day-to-day operations within the office environment

What You Bring

Required Qualifications

  • 3+ years of experience supporting senior leaders as an Administrative Assistant (ideally in a government or defense-related environment)
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience managing calendars, emails, and schedules in a fast-paced environment
  • Experience coordinating travel (domestic and international) and expense reporting
  • Ability to obtain a DoD Security Clearance
