Summary:


The Operations Administrator is responsible for providing administrative support to both the Operations and Project Management teams, ensuring the efficient coordination of projects, compliance processes, documentation, reporting, and operational initiatives. This role serves as a key liaison between the field and head office, supporting project execution, operational efficiency, and continuous improvement across the organization.


The Operations Administrator will report directly to the Manager, Administration.

Location: Clearway's Head Office Maple, ON.

Hours of Operations: 8:00 am to 5:00 pm


As a heavy civil contractor, Clearways workforce requirements can fluctuate with project schedules and anticipated contract awards. We are currently seeking skilled candidates to join our team and encourage qualified applicants to submit their application.


Essential Duties & Responsibilities:

General Operations Administrative Support:

  • Data entry/transfer, reports, coordination with project team, liaison between field and head office.
  • Creating, distributing, and keeping up-to-date forms and templates used by the operations team.
  • Writing formal Standard Operating Procedures & Training Modules relating to the operations department and facilitating company-wide rollouts.
  • Assist with training and onboarding for new employees.
  • Maintain and coordinate annual labour and equipment records, updates, and reporting requirements.
  • Other Administrative tasks relating to the Operations team as required.
  • Document control and internal audits as required.
  • Handle other assignments as directed by the Operations Administration Manager.

Locate Administration & Support:

  • Centralize and manage all locate requests from pre-construction to project completion.
  • Submit and track new locates, re-locates, and provide ongoing updates.
  • Ensure locate packages are current, valid, and updated as project scopes change.
  • Maintain organized locate documentation and review packages with project teams as required.
  • Liaise with Locate Service Providers (LSPs), utility companies (e.g., TSSA, ESA, Enbridge), and inspectors.
  • Enforce locate process and provide metrics for user compliance.
  • Analyze opportunities for improving locate efficiency and reducing turnaround times for locate packages.
  • Generate weekly reports summarizing locate status (completed, pending, etc.) as required for project teams
  • Maintain up-to-date job site locations using Google Maps.
  • Support the development of internal locate training programs and coordinate training for new and existing employees.
  • Participate in internal handover/pre-construction meetings as required to facilitate the initiation of the locate process
  • Obtain and maintain utility clearances, especially those with stop-work orders.

Project Administration & Support:

  • Facilitate project initiation activities, including project setup, folder structure management, and software configuration.
  • Applying for Insurance or Permits as required.
  • Monthly Billings and other tasks related to project revenue.
  • Formatting of various documents for projects required throughout construction.
  • Maintaining up-to-date records of project documents.
  • Internal audits for document control for projects.
  • Costs analysis and reporting as required for project team.
  • Attending project meetings and taking minutes when required.


Requirements:

  • Post-secondary education or a college diploma is preferred.
  • 2+ years of administrative, project coordination, or construction administration experience is preferred.
  • Proficient knowledge and use of Microsoft Word, Excel, Access, and Adobe.
  • Experience working with project management, document control, or ERP software is considered an asset.
  • Prior exposure to Ontario One Call or other locate software is considered an asset.
  • Proficient in English (written and verbal) with strong interpersonal and communication skills.
  • Strong planning and organizational skills, with the ability to multitask and prioritize effectively.
  • Ability to meet strict deadlines and perform well under time constraints.
  • Highly self-motivated and decisive, with a bias for action; takes ownership of challenges, makes informed decisions quickly, and drives solutions independently.
  • Must be legally entitled to work in Canada. No work permit sponsorship is available for this position.

Salary Range: $55,000 - $65,000 (CAD)
