Job Title: Communications Operations Manager


Working Model: Hybrid (Wednesday is an anchor day; events and additional on-site days are negotiable)

Working Days: Monday – Friday
Working Hours: Standard 8-hour shift (flexibility for occasional early morning meetings with international team members)

Pay: $35/hr


About the Role
We are seeking a Communications Operations Manager to enable a high-performing team of Communications Business Partners by ensuring seamless, effective, and timely operations.

This hands-on, mid-level contract position is ideal for someone who excels at bringing structure to complex environments, enabling team members to do their best work, and driving operational excellence. You will play a pivotal role in keeping the team connected, organized, and effective across a range of internal communications initiatives.


Key Responsibilities

  • Team Coordination:
    Oversee daily operations for a team of seven Communications Business Partners, keeping priorities, timelines, and deliverables consistently on track.

  • Event Logistics:
    Plan and manage logistics for internal engagement activities (e.g., town halls, leader office hours, coffee chats, and functional events), collaborating closely with administrative and event management teams.

  • Calendar Management:
    Maintain and optimize team calendars, aligning schedules for leadership engagements, key milestones, and communications initiatives. Proactively resolve scheduling conflicts.

  • Channel Management:
    Manage shared communication channels and mailboxes, triaging requests and ensuring timely and effective responses or escalation.

  • Process Improvement:
    Develop, organize, and enhance SOPs, templates, and documentation to support consistency and efficiency. Oversee shared drives and knowledge management to ensure information is accessible and up-to-date.

  • Cross-Functional Coordination:
    Work collaboratively with communications colleagues and stakeholders throughout the organization, including administrative, events, and operational teams.

  • Operational Excellence:
    Identify and implement solutions to streamline processes and enhance team productivity.


Qualifications

  • 5–8 years of experience in corporate operations, administration, coordination, or similar roles
  • Proven ability to manage multiple priorities and complex workstreams
  • Exceptional attention to detail and proactive, solutions-oriented approach
  • Comfortable working in fast-paced, collaborative environments
  • Strong interpersonal and relationship-building skills
  • Effective, professional communicator
  • Experience supporting internal communications teams (preferred)
  • Graphic design skills (preferred)

Technical Skills

  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail)
  • Experience with collaboration tools (e.g., Monday.com)
  • Ability to quickly adapt to new platforms and systems
