The Administration Manager (Start-up Operations) is responsible for leading and managing administrative and operational functions during the companyโs growth and start-up phase. This role oversees office administration, HR and recruiting support, vendor management, process development, and day-to-day operational activities.ย
โถ๏ธ Essential Functions:
ใปOversee and manage all administrative functions across finance, HR, IT, and legal areas
ใปSupport employees with day-to-day administrative and operational tasks
ใปServe as the primary liaison with external professionals including CPAs, attorneys, HR consultants, and IT consultants
ใปCollaborate closely with Japan Administration teams to ensure alignment of company policies, procedures, and operations
Office & General Administration
ใปManage daily office operations and facilities administration
ใปOversee procurement and management of office supplies, equipment, and IT assets
ใปMaintain contracts, company records, and internal documentation
ใปCoordinate travel arrangements, visitor support, and company events
ใปManage relationships with vendors and external service providers
Operations Development & Process Improvement
ใปDevelop and improve internal operational processes and workflows
ใปCreate and maintain company policies, SOPs, and operational manuall
ใปSupport operational efficiency initiatives and cost management
ใปTrack KPIs and prepare operational reports
ใปBuild scalable administrative systems to support company growth
HR & Recruitment Support
ใปCoordinate recruitment operations and interview scheduling
ใปManage onboarding and offboarding processes
ใปMaintain employee records, attendance, and benefits administration
ใปSupport employee engagement initiatives and internal communications
ใปAssist with HR administrative tasks and compliance
Finance & Accounting Support
ใปProcess invoices and employee expense reimbursements
ใปSupport payment processing and budget tracking
ใปCoordinate with external accounting firms and financial partners
ใปAssist with monthly financial and operational reporting
Executive & Cross-functional Support
ใปProvide administrative support to executives and leadership team
ใปOrganize meetings and prepare meeting minutes
ใปSupport special projects and company initiatives
ใปCoordinate cross-functional communication and collaboration
Required Education and Experience:
ใปExperience in administration, operations, HR, or related functions
ใปExperience working in a start-up or high-growth company environment
ใปStrong project management and multitasking skills
ใปExcellent communication and interpersonal skills
ใปProficiency in Microsoft Office and Google Workspace
ใปAbility to work independently and proactively
