The Human Resources Administrative Assistant provides comprehensive administrative and operational support to the HR department. This role is responsible for assisting with recruiting, onboarding, benefits administration, employee support, compliance activities, and HR reporting. The ideal candidate is detail-oriented, highly organized, service-focused, and comfortable supporting multiple HR functions in a fast-paced environment.
Recruiting & Onboarding

  • Post open positions internally and on external job boards
  • Review resumes, coordinate candidate communications, and schedule interviews
  • Create new hire packages and maintain new hire personnel files
  • Complete and track new hire paperwork and onboarding requirements
  • Support fingerprinting scheduling and PRIA paperwork for Flight Operations
  • Order and manage AmEx cards for new employees
  • Assist with employee arrival and termination email notifications
HR Systems & Data Management
  • Maintain and update employee records in Paylocity and PSANet
  • Support Paylocity modules including Recruiting, Learning, Onboarding, Performance, Time & Labor, and Web Benefits
  • Update organizational charts, phone lists, and departmental changes
  • Perform daily filing and document management
  • Manage Novi sign updates and internal postings
Benefits & Leave Administration
  • Assist employees with benefits enrollment, life events, and Open Enrollment
  • Audit benefits data and support monthly benefits invoicing
  • Assist with Short-Term Disability (STD) paperwork
  • Support quarterly and year-end benefits and payroll processes
Compliance & Employee Programs
  • Support background checks, employment verification, drug & alcohol (D&A) checks, and media searches
  • Assist with administration of the D&A Program
  • Provide Help Desk support and employee assistance as needed
Employee Engagement & Communications
  • Coordinate monthly employee appreciation programs (Star to Star, Personal Best)
  • Assist with internal newsletters and announcements
  • Support special events such as food trucks, blood drives, and town halls
General HR Support
  • Provide administrative and operational support to the VP of Human Resources
  • Support HSE initiatives as needed
  • Assist with ad hoc HR projects and initiatives
Requirements
Associate's degree or equivalent experience in Human Resources, Business Administration, or related field preferred
  • 1-2 years of HR, administrative experience
  • Strong attention to detail and organizational skills
  • Excellent communication and customer service skills
  • Ability to handle confidential information with discretion
  • Proficiency with HRIS systems; Paylocity experience strongly preferred
  • Proficient in Microsoft Office (Excel, Word, Outlook)
