Position Summary

We are seeking a detail-oriented and proactive Logistics Analyst to support daily outbound logistics operations, inventory warehouse transfers, and freight invoice management. This role is critical in ensuring on-time deliveries, maintaining accurate shipment documentation, coordinating with cross-functional teams, and resolving transportation issues efficiently. The ideal candidate will possess strong analytical skills, excellent communication abilities, and experience working with transportation carriers, warehouse operations.

1. Outbound Shipment Management 

  • Manage and oversee all outbound shipments to ensure timely and accurate deliveries.
  • Send daily shipment notification emails to customers, including tracking numbers, estimated delivery dates, and Bills of Lading (BOLs).
  • Monitor shipment tracking proactively and ensure all deliveries arrive on time.
  • Obtain Proof of Delivery (POD) documents from trucking carriers within 48 hours of delivery completion and upload to Airtable for tracking, reporting, and audit purposes.
  • Investigate and resolve transportation issues including: 
    • Lost shipments
    • Missing items
    • Delivery delays
    • Tracking discrepancies
    • Delivery failures within 48 hours of identification.
  • Coordinate with carriers to manage: 
    • Damage claims
    • Address corrections
    • Delivery rescheduling
    • Return-to-sender cases
  • Communicate directly with customers regarding delivery status, shipment issues, pickup confirmations, and corrective actions.
  • Create Commercial Invoices and Packing Lists (CIPL) for international shipments.
  • Collaborate with Trade Compliance teams and trucking carriers to ensure timely cross-border shipment clearance.
  • Coordinate with Sales, SAP team, and customers regarding sales order requests and shipment execution.

2. Inventory Warehouse Transfer Coordination 

  • Receive and process requests related to inventory warehouse transfers from outbound and inventory teams.
  • Coordinate with 3PL warehouses to schedule and execute inventory transfers efficiently.
  • Monitor transfer status and ensure timely completion and system updates.

3. Vendor Freight & Warehouse Invoice Management 

  • Review and reconcile monthly domestic trucking carrier freight charge reports by the 15th of each month.
  • Submit vendor freight and warehouse invoices through Airtable for Accounts Payable processing.
  • Maintain accurate freight cost records and support invoice discrepancy resolution.

Qualifications

  • Bachelor’s degree in Supply Chain, Logistics, Business Administration, or related field preferred.
  • 2+ years of experience in logistics, transportation, supply chain, or warehouse coordination.
  • Experience working with trucking carriers, 3PL warehouses, and freight operations.
  • Proficiency in Microsoft Excel and experience with data tracking tools such as Airtable is a plus
  • Experience with international shipping documentation and cross-border logistics is a plus.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and problem-solving skills.

Preferred Skills

  • Knowledge of transportation management and freight claims processes.
  • Understanding of shipping documents including BOL, POD, and CIPL.
  • Ability to work cross-functionally with Sales, Trade Compliance, Warehouse, and Finance teams.
  • Customer-focused mindset with strong follow-up skills.
