A distinguished boutique private country club in Boca Raton seeks an exceptional professional to serve as Executive Assistant to the General Manager / Chief Operating Officer.

This highly visible role functions as the executive nerve center of the club, providing strategic administrative leadership and governance coordination for the General Manager and the Board of Directors.

Position Overview:

The Executive Assistant to the General Manager/COO provides high-level strategic administrative support and governance coordination for the club's executive leadership and Board of Directors.

This role serves as a trusted advisor and organizational partner to the General Manager while maintaining professional relationships with the Board, committees, and senior leadership team.

The position requires a sophisticated professional capable of managing complex communications, board dynamics, legal documentation, and executive priorities within a highly confidential environment.

Key Responsibilities:

Executive Leadership Support

Provide comprehensive executive support to the General Manager/COO

Manage complex scheduling, priorities, and executive communications

Prepare reports, presentations, and strategic correspondence

Maintain absolute confidentiality regarding personnel, legal, and governance matters

Anticipate operational needs and proactively support executive initiatives

Board Governance & Administration:

Coordinate all Board of Directors and committee meetings

Prepare agendas, board packets, and supporting materials

Record and maintain official minutes and governance records

Track board directives and follow-up actions

Serve as liaison between executive leadership and volunteer leadership

Ensure governance processes are organized, professional, and compliant

Legal & Statutory Awareness:

Maintain familiarity with relevant Florida statutes impacting private clubs and residential associations

Assist the General Manager with governance documentation and legal coordination

Maintain contract records, corporate documentation, and official filings

Ensure documentation is maintained in accordance with governance standards

Organizational & Operational Coordination:

Maintain awareness of all club departments and operational priorities

Assist with internal leadership communications and executive initiatives

Support cross-department coordination on key projects and communications

Assist with member communications when appropriate

Board Relations & Executive Diplomacy:

Interact with Board members and committee leadership with professionalism and diplomacy

Qualifications: Required

5+ years experience supporting senior executives

Country club membership experience
