This exciting Executive Assistant job opportunity will support will support the Chief Operating Officer (COO). This role is

Responsibilities

The Executive Assistants will manage a variety of tasks, exercise independent judgment, and engage with a wide range of internal and external stakeholders, including the executive team, hospital administrators, and faculty group practice personnel. They will handle sensitive and confidential matters with discretion, ensuring smooth operations within the health system and its community hospitals.

Key Responsibilities:

  • Provide administrative support to the senior executive team, ensuring efficient operation of their respective offices.
  • Coordinate and manage complex schedules, meetings, and travel arrangements for the executive leadership team.
  • Prepare reports, presentations, and correspondence as required by senior leadership.
  • Act as a liaison between the executives and various departments, community hospitals, faculty group practices, and health center personnel.
  • Manage sensitive and confidential information with the utmost discretion and professionalism.
  • Use independent judgment to prioritize tasks, implement administrative activities, and solve problems efficiently.
  • Maintain effective communication with internal and external stakeholders, representing the senior leadership in a professional manner.
  • Handle general administrative tasks such as file management, office organization, and handling communications

Qualifications

Minimum Education and Experience Requirements:

  • High school education or equivalent
  • Associates degree can be substituted for experience
  • Five years progressively responsible advanced secretarial and administrative experience with independent project task management
  • Experience must include independent use of personal computer applications including word processing, databases, spreadsheets such as Excel, Access, etc
  • Excellent written and oral communications skills are required
  • Technical training or additional experience is required to substantiate required database management skills.
