C-Suite Executive Administrative Assistant

The Opportunity

We are seeking a high-level, strategic Executive Assistant to join a premier, international designer and marketer of iconic consumer brands. This role provides critical administrative and operational support to several members of the firm's Executive Leadership Team.

This is a "high-visibility" seat at the center of a global organization. You will act as a key enabler for the enterprise, ensuring that senior leaders can maintain focus on high-priority initiatives through your proactive coordination and precision.

Responsibilities

Executive & Administrative Support

  • High-Stakes Management: Provide direct administrative support to multiple C-Suite members, managing complex calendars and priorities with total accuracy.
  • Strategic Correspondence: Prepare, review, and edit high-level correspondence, executive presentations, and meeting materials with meticulous attention to detail.
  • Communication Gateway: Serve as the professional point of contact for internal senior leaders, employees, and external global partners.
  • Inquiry Management: Screen and prioritize high volumes of emails and meeting requests, exercising sound judgment on when to escalate issues.

Operational Coordination & Planning

  • Meeting Architecture: Support the planning and execution of executive forums, leadership off-sites, and functional operating rhythms.
  • Global Logistics: Coordinate intricate travel itineraries and logistics, ensuring all materials and agendas are finalized ahead of time.
  • Accountability Tracking: Monitor action items and deadlines across the supported executive team to ensure timely follow-up and execution.
  • Cross-Functional Projects: Support special enterprise-wide initiatives and project-based work as assigned.

Enterprise Collaboration

  • Unified Support: Partner with the broader EA team to ensure seamless coverage and consistent support practices across the entire Executive Leadership Team.
  • Executive Onboarding: Support shared processes, including the integration and logistics for new incoming executive leaders.
  • Process Improvement: Contribute to the continuous refinement of executive support tools and organizational practices.

Qualifications & Skills

  • Experience: 5โ€“8+ years of experience supporting C-Suite leaders; prior experience supporting multiple executives simultaneously is strongly preferred.
  • Environment: Proven success operating in complex, fast-paced, or matrixed global organizations.
  • Education: Bachelor's degree or equivalent professional experience.
  • Technical Mastery: Advanced proficiency in the Microsoft Office Suite, specifically Outlook, PowerPoint, Excel, and Word.
  • Judgment: Exceptional ability to handle confidential and sensitive information with the highest level of professionalism and integrity.
  • Core Traits: Must demonstrate extreme agility, a proactive "service mindset," and the ability to produce high-quality work under tight timelines.
