Job description

POSITION SUMMARY

The Coordinator - Service coordinates, monitors and improves service activities for the service department. Ensures services are effective and customer requirements are met. 
 

JOB RESPONSIBILITIES

    Makes reservations for planned travel (international and domestic) including airline, hotel and rental car, adjustments as necessary ensuring that routes and prices are within the constraints of the travel budget.
    Documents, tracks and confirms outbound material shipments to jobsite to effectively avert any issues and to provide communication on delivery requirements to clients.
    Locates and secures rental reservations for all necessary tool requirements needed per job specifications.
    Assists in arranging programs, events, and conferences by scheduling facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
    Performs administrative duties when necessary such as filing, data entry, sending out mailings, generating reports and presentations and facilitating interdepartmental communications between internal and external parties.
    Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
    Maintains service technician sign offs for all equipment and electronics assigned.
    Coordinates and prepares all aspects of onsite/online operator certification seminars.
    Serves as backup assistance in the lunch rotation for receptionist screening and routing callers to appropriate party.
    Additional duties as assigned. 
 

QUALIFICATIONS / REQUIREMENTS

    Associate's Degree or equivalent from two-year college or technical school in related field
    4+ years of previous Service Coordinator experience; or equivalent combination of education and experience
    Occasional travel either locally, nationally, and/or internationally may be required.
    High degree of proficiency in MS Office Suite, Outlook & Internet applications.
    Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills.
    Strong verbal and written communication skills (including analysis, interpretation, & reasoning).
    Solid understanding and application of mathematical concepts.
    Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients.
    Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
    Ability to work with and influence peers and management.
    Self-motivated with critical attention to detail, deadlines and reporting.
    Ability to work overtime as necessary.

    Regularly required to stand; walk; sit; and talk, hear and see.  
    Occasionally lift and/or move up to 10 pounds.
