Job description

Position Description The Seattle Police Department is seeking a dynamic and experienced Administrative Staff Assistant to provide a full range of confidential and clerical support functions for the Domestic Violence Protection Order/Gun Surrender Unit. This position requires one to maintain confidentiality of sensitive department and investigative information. In addition, this position will complete other administrative tasks as assigned.

Job Responsibilities Position Duties and Responsibilities: Administer the legal services vendor contract, including lifecycle oversight, performance monitoring, invoicing, and issue resolution. Track and forecast protection order budgets; verify invoices, maintain records, and report budget impact to leadership. Maintain and troubleshoot Protection Order systems: email, tracking tools, custom forms, dashboards, and the patrol court order application.

Research and review protection order packets, including database checks, identity/address verification, safety assessments, and legal compliance. Liaise with courts, process servers, SPD units, Seattle IT, WASPC, and other agencies to ensure compliance and coordinate multi-agency processes. Coordinate training logistics, including travel requests, budget monitoring, and documentation.

Train and mentor administrative staff, Light Duty Officers, and new hires on protection order procedures and systems. Manage ongoing data extraction and reporting needs. Create, route, and distribute outgoing correspondence and compile weekly reports.

Establish and maintain files and logs and compile statistical data for reports. Responsible for documentation and distribution of record keeping systems and records retention data. Extensive phone contact with the general public, victims, suspects, and other law enforcement and social service agencies.

Responsible for completion of time sheets, payroll, track overtime, and maintain related records. Prepare purchase order requests for office supplies. Process and distribute in-coming/out-going mail.

Ability to operate and troubleshoot office equipment such as copiers, printers, and fax machines. Perform other clerical duties as assigned. Qualifications Required Qualifications: Requires one year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field; and a Bachelor's degree in business or public administration, or another closely related field (or a combination of education and/or training and/or experience that provides an equivalent background required to perform the work of the class).

Desired Qualifications: Excellent oral and written communication skills. Self-Starter, ability to work independently and exercise good judgment. Demonstrated ability to multi-task and adjust priorities on short notice.

Experience working with confidential information. Demonstrated experience working in a dead-line driven environment. Proficient in Microsoft Outlook, Word, Excel.

Position Requirements: Must pass a Seattle Police Department background investigation. The full salary range for this position is $41.44 - $48.31 per hour. New employees begin at Step 1 of the pay progression, which is $41.44 hourly. Current City employees' starting rate of pay will be based on Personnel Rules regarding promotions
