Overview
This role serves as the primary point of contact at the mailroom front desk and is responsible for handling incoming communications, package processing, shipping and receiving activities, data entry, and administrative support. The ideal candidate is highly organized, detail-oriented, able to multitask in a fast-paced environment, and committed to providing excellent customer service.
Key Responsibilities
- Manage the mailroom front desk and provide exceptional customer service to employees and visitors.
- Answer and direct phone calls, respond to emails, and forward incoming faxes.
- Check packages in and out and maintain accurate courier and delivery logs.
- Assist employees with mailing services, shipping requests, and office supply needs.
- Provide backup support for printing, copying, scanning, and document production services.
- Perform light data entry, billing, and record-keeping tasks.
- Process incoming and outgoing mail, packages, and shipments.
- Verify packing slips and shipping documentation for accuracy.
- Maintain organized mailroom and office service areas.
- Troubleshoot basic copier, printer, and office equipment issues when necessary.
- Follow established shipping, receiving, and mail distribution procedures.
- Lift and move packages weighing up to 20 pounds as needed.
- Collaborate effectively with team members to support daily office operations.
Qualifications
- High School Diploma or GED required.
- 1–2 years of related office, mailroom, administrative, or customer service experience required.
- Minimum of 2 years of legal industry experience highly preferred.
- Strong customer service, communication, and interpersonal skills.
- Ability to multitask and prioritize work in a fast-paced environment.
- Knowledge of shipping and receiving procedures.
- Experience with data entry and general administrative tasks.
- Working knowledge of copiers, printers, scanners, and related office equipment preferred.
- Basic troubleshooting and problem-solving skills.
- Ability to work independently and adapt to changing priorities.
- Valid driver's license and required auto insurance coverage may be required.
- Primarily seated work with occasional standing and walking.
- Ability to lift and move packages weighing up to 20 pounds.
- Ability to operate standard office equipment, including computers, printers, copiers, and scanners.
- Experience with document management and workflow systems.
- Knowledge of cost recovery and billing processes.
- Strong attention to detail and organizational skills.
- Professional demeanor and excellent verbal and written communication abilities.
