Overview

We are seeking a proactive, detail-oriented Office Operations Associate to manage our physical office environment, deliver exceptional on-site hospitality, and handle essential operational tasks. Working in parallel with our administrative team, this role takes direct ownership of daily facility upkeep, guest greeting, notary services, lunch/event execution, and special office projects.


Description

Key Responsibilities


Door Management & Guest Hospitality: Primary point of contact for in-person visitors at the front door. Ensure all guests are welcomed warmly and conference rooms are pristine and prepared for meetings.


Inventory & Office Stocking: Proactively track, order, and restock coffee stations, kitchen supplies, snacks, and general office inventory to maintain a fully supplied workplace.


Notary Services: Perform notarizations for legal documents and client paperwork as needed.


Lunch & Event Coordination: Manage end-to-end logistics for client lunches, team meals, and firm events, including vendor selection, catering orders, room setup, and cleanup.


Mail & Logistics: Receive, sort, and distribute incoming mail and packages (UPS, FedEx, USPS) and process outgoing deliveries.


Special Projects: Take ownership of ad-hoc administrative and operational projects, such as file reorganization, digital archiving, document preparation, and general office support.


Qualifications & Requirements


Notary Status: Active Florida Notary Public commission preferred. (If not currently commissioned, willingness to obtain licensing upon hire is required; cost of obtaining license will be reimbursed).


Experience: Background in hospitality, customer service, retail, or entry-level office support.


Key Traits: Strong organizational skills, high attention to detail, proactive work ethic, and a hands-on approach to keeping the physical office running smoothly.


Schedule: Full-time, reliable on-site attendance required Monday through Friday, 8:00 AM to 5:00 PM. Punctuality and reliability are essential functions of this role.
