We are seeking a highly organized, proactive, and driven Office Manager to join our successful team. This is more than an administrative role-you'll play an important part in keeping our projects, people, and operations moving forward. Working alongside our Operations Manager and Director of Marine Operations, you'll help coordinate day-to-day administrative operations, support project needs, maintain strong communication with clients, suppliers, and our field team, and oversee important financial and project documentation.

Key Responsibilities:

Administrative Management:

Serve as the primary point of contact for all incoming communication, including phone calls, emails, and in-person inquiries.

Maintain organized filing systems (digital and physical) for project documents, permits, contracts, and client records.

Coordinate office logistics, such as ordering supplies and managing equipment maintenance.

Client Relations:

Handle initial client inquiries and schedule site visits for estimates and consultations.

Financial Administration:

Manage invoicing, accounts payable, and receivable.

Quickbooks & Great Plains experience is a plus but not required

Assist with payroll processing and employee time tracking.

Human Resources Support:

Maintain employee records, including time-off requests, certifications, and training documentation.

Assist with onboarding new hires, including managing paperwork and orientation.

Ensure compliance with company policies and procedures.

Office Operations:

Ensure office policies and procedures are adhered to.

Oversee office cleanliness and organization.

Assist in managing relationships with vendors, including suppliers, service providers, and contractors.

Qualifications:

Experience:

Minimum of 2-3 years of experience in office management or administrative roles. Experience in construction, marine, or restoration industries is a plus.

Proficiency in Quickbooks, Buildtrend and Great Plains helpful.

Skills:

Excellent organizational and multitasking abilities.

Strong written and verbal communication skills.

Ability to manage and prioritize a variety of tasks in a fast-paced environment.

Basic knowledge of bookkeeping and payroll processes.
