Job description

The North Central State Regional Council of Carpenters Training Fund in Madison, WI is seeking a proactive and highly organized Administrative Assistant. This key role provides comprehensive support for office operations, ensuring smooth workflow and excellent customer service, while overseeing scheduling, document management, and clerical functions. The ideal candidate demonstrates strong leadership, attention to detail, and the ability to maintain a productive environment in a fast-paced setting.

Responsibilities

  • Oversee daily office management tasks, including filing, data entry, and record organization
  • Manage multi-line phone systems professionally, providing superior customer support and phone etiquette
  • Coordinate scheduling and calendar management for 200 students
  • Supervise front desk operations, greet visitors, and maintain a welcoming atmosphere
  • Prepare correspondence, proofread documents, and update databases using Microsoft Office and Google Workspace
  • Assist with bookkeeping tasks using QuickBooks or similar software
  • Support personal assistant duties such as travel arrangements and task prioritization
  • Maintain accurate filing systems and timely data entry for reporting purposes
