The Career and Technical Education (CTE) Section within the Bureau of Teaching and Learning is seeking applicants for an Office Operations Associate position. This position provides administrative and program support for CTE programs and Career and Technical Student Organizations (CTSOs), including coordinating conferences, meetings, and events; supporting day-to-day program operations; and communicating with teachers, students, and program partners. This is a unique opportunity to build relationships with CTSO state officers and leaders while supporting programs and events that directly impact middle and high school students as they explore and pursue their career pathways.
Position Summary
This position performs highly responsible administrative assistance and program support activities requiring a high degree of program knowledge and independent judgment for the Career and Technical Education (CTE) Section including: (1) program assignments in the areas of Agriculture, Food, and Natural Resources, Family and Consumer Sciences, Health Science, Marketing Management & Entrepreneurship, Business and Information Technology and Technology and Engineering; (2) related Career and Technical Student Organizations (CTSOs); and (3) one or more additional programs and/or initiatives requiring a wide range of responsibilities within the section/bureau/agency. This position exercises a significant degree of independence and latitude for decision making, critical collaboration with related staff members, strong organizational skills, effective communication skills, responsive customer service, and the ability to work effectively with diverse individuals and groups.
Key responsibilities include:
  • Providing administrative and program support for CTE programs and CTSOs.
  • Coordinating conferences, meetings, workshops, and events, including registration, logistics, materials, and on-site support.
  • Preparing, editing, proofreading, and distributing correspondence, reports, publications, and other program materials.
  • Responding to questions and providing program information to teachers, students, families, and other program partners.
  • Maintaining program records, data, electronic systems, website content, and online registration or data collection tools.
  • Supporting program financial activities, including contracts, invoices, payments, requisitions, purchasing, and related documentation.
  • Organizing and balancing multiple program assignments, priorities, and deadlines while working independently and collaboratively with CTE staff.

Salary Information
Starting salary will be $23.16 per hour (approximately $48,173 per year). For current and eligible former State employees, compensation will be set in accordance with the State Compensation Plan effective at time of hire. This position is in pay schedule 02, range 10. A one-year probationary period will be required.

Job Details
Remote Work : This position allows for up to 60% remote work within the State of Wisconsin, with the expectation that the employee maintains secure, high-speed internet access. Remote work from neighboring states may be approved only in very rare and limited circumstances. Please note that remote work arrangements may be rescinded at any time based on business needs, and employees may occasionally be required to report to a Wisconsin work location on short notice.
Travel : Approximately 5% in-state travel annually, including occasional overnight travel.
Headquarters : The position is headquartered at 201 W. Washington Ave. in Madison, WI, and employees are required to report there on their first day of employment. In addition, the employee may need to report to their headquarter location as operational needs require. Reimbursement for traveling to or from the employee's headquarters is not provided (e.g., mileage, meals, parking, lodging, etc.).
Pre-hire requirements : A criminal background check will be conducted prior to an offer of hire. A tuberculosis screen will be required prior to start.
Legal authorization : Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., without DPI sponsorship). The Department of Public Instruction does not sponsor visas, either at time of hire or at any later time.
Qualifications

  • Experience using Microsoft Office, including Word, Excel, and Outlook, for administrative or program support.
  • Experience coordinating administrative or program support activities.
  • Experience organizing and managing multiple tasks and deadlines.
  • Experience preparing or editing written materials
  • Experience responding to questions or providing information to customers, staff, or other partners.
Please note that a college degree is not required for this position.
Well-qualified applicants will also have:
  • Experience supporting a youth-focused, education, or student organization or program, such as FFA, DECA, FBLA, or similar organization.
  • Experience using web-based or digital tools for online registration, data collection, website content, or reporting.
  • Experience providing administrative or program support across multiple programs or work areas.
  • Experience coordinating conferences or events, including at least two logistics components such as registration, facilities, equipment, vendors, presenters, or on-site support.
  • Experience supporting financial or purchasing activities, such as processing invoices, payments, requisitions, or expenses.
