About the Role
The Office Operations Specialist serves as the operational hub of our headquarters, ensuring daily office functions run smoothly while supporting workplace organization, employee engagement, and administrative operations. This role works closely with leadership and multiple departments to maintain an efficient, welcoming, and well-organized office environment.
Key Responsibilities
  • Coordinate day-to-day office operations and administrative activities
  • Serve as the primary point of contact for visitors, vendors, deliveries, and general office inquiries
  • Manage office, kitchen, and supply inventory and coordinate vendor relationships
  • Process employee expense reports and travel reimbursements
  • Create and maintain forms and documents using JotForm and DocuSign
  • Coordinate new hire workstation setup and office onboarding logistics
  • Support employee engagement initiatives, wellness programs, and office events
  • Design employee communications and recognition materials using Canva
  • Assist with internal communications and administrative projects
  • Provide administrative support to leadership and Human Resources as needed
  • Perform other related duties consistent with the role
Qualifications
  • 2+ years of experience in office administration, office coordination, or workplace operations
  • Excellent organizational and time management skills
  • Strong customer service and interpersonal skills
  • Outstanding written and verbal communication skills
