Lexicon offers a unique combination of capabilities. Our services include construction management, fabrication, erection, mechanical installation, and plant maintenance for heavy industrial, commercial, and roadway projects, as well as a full spectrum of golf course construction and management services.

Position Summary

The Office Manager is responsible for the accurate and timely completion of all field payroll, billing and purchasing.

Essential Duties and Responsibilities

  • Collects the Foreman sheets and verifies the accuracy; balances sheets & enters man hours to the payroll/billing system on a daily basis.
  • Records daily equipment usage by job and phase numbers. Prepares updated inventory of all tools and equipment (owned and rented) on job site.
  • Provides new employees with necessary new hire paperwork and ensures accurate completion of all forms. Keeps updated employee files.
  • Responsible for the field checking account (e.g. writing checks, making copies of checks related to payroll (advances, payroll adjustments)). Prepares weekly cash disbursement reports.
  • Submits all employee status changes to the payroll and human resources departments (e.g. pay rates, address, W-4, location and classification). Ensures the timely and detailed completion and submittal of all termination and warning reports.
  • Types quotes or bids as requested by the Project Manager. Issues job numbers for all new work secured.ย  Keeps accurate job and vendor files.ย  Provides status reports of all jobs to the Project Manager.
  • Tracks all extras to a job and chargeback's to the customer. Notifies the billing department of all changes.
  • Responsible for answering all incoming phone calls in a friendly, helpful manner. Generates a list of all prospective employees who call in response to ads.
  • Files, copies and performs other miscellaneous clerical duties.
  • Delegates duties and responsibilities to Job Site Office Clerks and provides input on performance appraisals.
  • Adheres to all company safety and OSHA regulations.
  • The ability to work overtime and regular, punctual attendance is required.

Qualifications

High School diploma or equivalent with either an Associates Degree or equivalent from a trade school. ย Minimum of 5 years' experience in an accounting department or as an Office Manager. ย Proficient in Microsoft Word, Excel and Access. ย Excellent organizational and communication skills required.

Physical Demands

Must be able to sit and work directly on a computer for extended periods of time. ย High pressure work environment. ย Must be able to lift and carry up to 25 pounds occasionally.ย  Considerable amounts of overtime, weekend and holiday work required.
