Job description

Office Manager

We are a small but growing service company looking for an Office Manager to bring stability, follow-through, and accountability to our day-to-day office operations.
This is not an assistant role.
We need someone who can take ownership of office workflow, administrative coordination, customer communication, and follow-up without needing to be managed closely every step of the way.

We are a busy company with a lot moving at once. The right person will help create order, keep things from slipping, and make sure work gets completed properly from start to finish.
What this role is responsible for

This role owns the office-side flow of work. That includes:
  • Managing incoming calls and making sure calls are handled properly
  • Responding to customer inquiries and keeping communication timely and organized
  • Tracking jobs from intake through completion, billing, and closeout
  • Following up on open quotes, open customer requests, and unfinished administrative items
  • Coordinating with vendors and tracking open orders or outstanding needs
  • Making sure required paperwork, records, and internal documentation are complete and accurate
  • Maintaining clean, dependable information across our systems
  • Helping reduce confusion, missed follow-up, and operational friction across the office

This role is not responsible for scheduling or coordinating field technicians.
What success looks like

In this role, success means:
  • Customers get timely responses and clear communication
  • Office work stays organized and nothing falls through the cracks
  • Jobs are tracked properly and move cleanly through the system
  • Completed work gets to billing without unnecessary delay
  • Follow-up happens consistently without ownership stepping in
  • Records, paperwork, and internal systems stay accurate and reliable
  • The office runs with more clarity, less chaos, and fewer dropped balls

What we’re looking for

We are looking for someone who is:
  • Highly organized
  • Detail-oriented
  • Calm under pressure
  • Strong at follow-through
  • Comfortable owning responsibilities independently
  • Clear and professional in communication
  • Comfortable working with technicians, customers, vendors, and ownership
  • Reliable, steady, and mature in how they operate
This role fits someone who naturally notices what is still open, what needs to happen next, and what cannot be left unfinished.
What will not work in this role

This role will not be a fit for someone who:
  • Needs constant direction
  • Waits to be told what to do next
  • Struggles to keep track of multiple open items
  • Avoids accountability conversations
  • Lets details slip
  • Treats follow-up like an afterthought
  • Wants a low-responsibility administrative support position
We are looking for someone who wants to own their area and become a long-term, dependable part of the company.
About our environment

We are a service-based company and  run a busy operation with high utilization and a lot of moving parts. We are not trying to build corporate layers or unnecessary bureaucracy. We care about clarity, stability, precision, and accountability.
We value long-term hires and would prefer to bring in someone looking for a real home, not a short stop.
Compensation

·         Salary range: $45,000–$57,000, based on experience and fit
·         Full-time position
·         Compensation will reflect the value of someone who can truly take ownership and remove load from the business

We are not working with recruiters or staffing agencies for this role. Any unsolicited outreach or candidate submissions will not be considered.
