What We're Looking For:ย 

INH Property Management is seeking a full-time Administrative Assistant - Front Desk to join the team. The ideal candidate will provide administrative support for daily operations, ensuring efficient office management, client communication, and property-related tasks. In addition, because you'll be the initial contact for customers and clients, to have excellent customer service skills, and be a problem-solver.


Job Description: (Including but not limited to the following)

Front Desk

  • Greet visitors, determine purpose of visit, and direct them appropriately
  • Answer, screen, and transfer incoming calls
  • Collect, sort, and distribute mail and deliveries
  • Order, track, and manage office supplies
  • Submit rental verifications

Administrative Assistant

  • Provide administrative assistance to the Property Manager, ensuring smooth day-to-day operations of the property management office.
  • Handle tenant inquiries via phone, email, and in-person, addressing concerns or directing them to the appropriate department or person.
  • Record and follow up on maintenance requests, ensuring timely resolution and ensuring tenants and contractors are kept informed.
  • Assist with invoicing and payment tracking, including rent collection, account reconciliations, and processing vendor payments.
  • Maintain organized files for all property-related documents, including tenant files, lease agreements, maintenance records, and financial reports.
  • Assist in scheduling property inspections, showings for prospective tenants, and move-in/move-out coordination.
  • Input data related to leasing activity, tenant status, and property conditions into property management software.

Requirements

Who We Are Looking For (Ideal Candidate):

  • High school diploma or equivalent.
  • Associate or bachelor's degree in business administration, real estate, or a related field is a plus.
  • Previous administrative assistant or receptionist experience, preferably in property management or real estate.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with property management software (Yardi).
  • Excellent Customer Service and Time Management skills.
  • Ability to take initiative and to problem solve.
  • Strong organizational and attention-to-detail skills, with the ability to effectively prioritize and manage multiple tasks simultaneously.
  • Ability to work independently and in a team setting.

Working Conditions:

  • Hourly
  • Full Time expected to work 40 hours a week.
  • The schedule is Monday-Friday onsite in Waite Park, MN.
