Full Time | On Site

Join Synertex LLC and support a mission-critical Intelligence Community customer as a PMB / Operations Manager (OPS MGR). This highly visible position serves as a key operational partner to senior leadership, providing program management, executive operations, stakeholder coordination, knowledge management, and organizational support across multiple mission-focused initiatives.

The successful candidate will act as a trusted advisor and force multiplier for leadership, ensuring priorities, schedules, taskings, communications, and program activities remain synchronized and on track. This role requires an individual who is proactive, highly organized, detail-oriented, and capable of operating independently in a fast-paced, high-pressure environment while maintaining professionalism and discretion.

The ideal candidate possesses an "ownership mentality," can anticipate leadership needs before they arise, remains composed during periods of high operational tempo, and has the ability to balance multiple competing priorities without losing focus on mission objectives.

RESPONSIBILITIES:
  • Executive Operations & Leadership Support
    • Serve as the primary operational support resource for senior leadership and the Program Management Branch (PMB).
    • Manage and coordinate executive calendars, schedules, priorities, meetings, and action items.
    • Anticipate leadership requirements and proactively identify, track, and resolve issues requiring attention.
    • Maintain situational awareness of leadership priorities and ensure commitments, deadlines, and deliverables are met.
    • Develop executive reference materials, trackers, binders, and organizational tools to improve leadership effectiveness and accountability.
    • Track leadership discussions, commitments, and follow-up actions, ensuring important tasks are not overlooked.
    • Exercise sound judgment and discretion while handling sensitive and confidential information.
    Program Management & Operations
    • Support program planning, execution, and operational oversight activities across multiple mission areas.
    • Coordinate activities and requirements between mission managers, technical teams, stakeholders, and leadership.
    • Maintain an overall understanding of program objectives, technical capabilities, schedules, risks, dependencies, and deliverables.
    • Support requirements development, enhancement efforts, schedule estimation, cost management, contract performance monitoring, and quality assurance activities.
    • Assist with technical roadmap development, maintenance, and execution.
    • Monitor program performance and provide status updates, metrics, and reporting to leadership.
    • Identify and escalate program risks, issues, and operational concerns while recommending mitigation strategies.
    • Prioritize activities to ensure efficient and effective execution of program objectives.
    Stakeholder Engagement & Communication
    • Conduct stakeholder engagement and outreach activities in support of customer objectives.
    • Interface and coordinate with Directorate leadership, federal partners, external government agencies, and industry partners.
    • Maintain ongoing communication and follow-up with the Rapid Capabilities Office and associated stakeholders.
    • Coordinate across internal PMOs, external organizations, and mission partners to ensure alignment of priorities and activities.
    • Build and maintain productive relationships across government, contractor, and technical organizations.
    Meeting Management & Executive Communications
    • Prepare executive briefings, reports, talking points, and presentations for senior leadership.
    • Organize meetings and ensure all meeting objectives are clearly articulated using the "5 W's" framework (Who, What, When, Where, and Why).
    • Attend meetings, capture detailed notes, identify action items, and track completion of assigned tasks.
    • Understand and follow technical and operational discussions sufficiently to accurately capture decisions, requirements, and outcomes.
    • Provide written and verbal updates regarding program status, progress, issues, and action items.
    • Develop and review technical and programmatic documentation.
    Task Management & Front Office Support
    • Receive, manage, prioritize, and track incoming and outgoing taskings from the Front Office and executive leadership.
    • Ensure taskings are routed appropriately, monitored through completion, and reported to leadership.
    • Develop and maintain task management systems to improve accountability and execution.
    • Coordinate actions across multiple organizations to ensure deadlines and mission requirements are achieved.
    Knowledge Management & Organizational Effectiveness
    • Lead knowledge management efforts supporting organizational continuity and operational efficiency.
    • Maintain and organize Shared Drives, Confluence pages, records repositories, and program documentation.
    • Modernize and organize legacy paper and electronic records to improve accessibility and usability.
    • Ensure critical information is properly documented, maintained, and readily available to leadership and stakeholders.
    • Develop and implement organizational processes that improve operational effectiveness and knowledge sharing.
    Mentorship & Team Support
    • Provide guidance and mentorship to Executive Assistants and administrative support personnel supporting the Rapid Capabilities Office.
    • Foster collaboration, accountability, and effective communication across support staff and program teams.
    • Promote organizational discipline, consistency, and professionalism throughout the support structure.
REQUIREMENTS:
  • Active TS/SCI clearance with Polygraph.
  • Bachelor's degree in Business Administration, Program Management, Information Technology, Communications, or a related discipline; equivalent experience may be substituted.
  • Minimum of 14 years of experience supporting executive leadership, program management offices, operations management, project management, business process analysis, or Intelligence Community programs.
  • Experience providing direct support to Government Program Managers and senior executives managing multiple Intelligence Community initiatives.
  • Demonstrated experience working within the Intelligence Community (IC).
  • Experience coordinating with senior government officials, mission managers, and technical teams.
  • Proficiency with Microsoft Office Suite, including OneNote, SharePoint, Teams, Excel, and PowerPoint.
  • Experience developing executive reports, metrics, dashboards, and activity trackers.
  • Experience supporting requirements management, risk management, schedule management, contract performance, and quality assurance activities.
  • Strong organizational, analytical, and problem-solving skills.
  • Exceptional written and verbal communication skills.
Desired Qualifications
  • Experience supporting Rapid Capabilities, Counterintelligence, Intelligence Operations, or Technical Programs.
  • Experience with Confluence and enterprise knowledge management platforms.
  • Familiarity with technical development, systems integration, or software development environments.
  • Experience supporting executive-level operations within high-visibility government organizations.
