Job description

Talis Group’s client is a small, established CPA firm seeking a dependable, organized, professional Office Administrator to support the day-to-day operations of their 5-person, downtown office. This is a hands-on role for someone who enjoys working in a close-knit team, interacting with clients, and keeping the office running smoothly and efficiently.

Salary: $45 to 50K + solid benefits package including health, dental, vision, 401K, and free parking.

HIGHLIGHTED DUTIES:
  • Manage the day-to-day administrative operations of the CPA office.
  • Serve as the first point of contact for clients by phone, email, and in person.
  • Schedule appointments, meetings, and client calls.
  • Maintain client files, records, and confidential information in an organized manner.
  • Assist with tax-season administrative tasks, including organizing client documents and tracking outstanding information.
  • Prepare, format, scan, copy, and distribute documents and reports as needed.
  • Handle routine billing, invoicing, deposits, and other basic office bookkeeping tasks.
  • Monitor office supplies and coordinate ordering as needed.
  • Coordinate with accountants and partners to help keep client work moving efficiently.
  • Assist with onboarding new clients and maintaining client information.
  • Maintain a clean, organized, and professional office environment.
  • Handle other administrative and organizational duties as needed.

HIGHLIGHTED REQUIREMENTS:
  • Prior experience in office administration, office management, or administrative support.
  • Strong organizational skills and excellent attention to detail.
  • Professional, friendly, and confident communication skills, verbal and written.
  • Ability to handle confidential client and financial information with discretion.
  • Strong computer skills and proficiency with Microsoft Office, including Outlook, Excel, and Word – (testing required).

  • Dependable, self-motivated, and able to work independently.
  • Strong proofreading and written communication skills.
  • Previous experience in a CPA, accounting, financial services, or professional services office is preferred but not required.
