Job description

Rome Health is seeking a compassionate, organized, and customer-focused Office Coordinator to join our Community Recovery Center (CRC) team. In this role, you will provide essential administrative and clerical support to help ensure the efficient day-to-day operations of the CRC. You will support the Director, clinicians, and other members of the clinical team while serving as the first point of contact for patients, visitors, and community partners.

The Office Coordinator plays a key role in creating a welcoming environment, coordinating front office activities, and supporting special projects, grant tracking, and committee initiatives as assigned.

Key Responsibilities

  • Serve as the primary front desk contact for patients, visitors, and staff.
  • Provide administrative and clerical support to the Director, clinicians, and clinical team.
  • Answer phones, schedule appointments, and manage daily office workflow.
  • Maintain accurate records while ensuring confidentiality and compliance with applicable regulations.
  • Assist with insurance authorizations and documentation as needed.
  • Support grant and project tracking for committees and workgroups.
  • Collaborate with internal departments, insurance companies, state agencies, and community partners.
  • Deliver exceptional customer service while maintaining a professional and positive attitude.

Qualifications

Required:

  • High School Diploma or GED.
  • Minimum of 3 years of relevant administrative experience.
  • Minimum of 2 years of experience working in Behavioral Health.
  • Current New York State of Health Assistor Certification, or the ability to obtain certification within 6 months of hire.

Preferred Knowledge & Skills:

  • Knowledge of federal, state, and local billing and compliance regulations.
  • Understanding of substance use disorder treatment and recovery services.
  • Experience with insurance authorization requirements.
  • Proficiency in Microsoft Office, including Excel and Word.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain professionalism and confidentiality at all times.
  • Ability to work collaboratively with coworkers, patients, insurance companies, hospital departments, state agencies, and the public.
