Position Overview: We are seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate will play a key role in supporting the daily operations of our office, ensuring efficiency and smooth workflow. As an Office Assistant, you will be responsible for handling administrative tasks, coordinating office activities, and assisting various departments. This role will involve managing licensure applications across various states and staying up to date on requirements. Additionally, help support the President in the day-to-day task of running the business.

Duties and Responsibilities:

  • Manage phone calls, emails, and correspondence.
  • Maintain and organize office files and documents.
  • Regularly lifting and carrying supplies for the office and break room, frequently ranging between 25 lbs to 50 lbs.
  • Assist in preparing reports, presentations, and other documents.
  • Research and understand licensure requirements in various states.
  • Prepare and submit licensure applications as needed.
  • Stay informed about updates and changes in licensure regulations. Oversee and ensure timely renewal of business licenses, permits and certifications.
  • Coordinate and schedule meetings, appointments, and events.
  • Administrative support: Assist all office staff with daily administrative task including scheduling meetings, appointments, travel arrangements, etc...
  • Ensure office supplies are stocked and order as necessary.
  • Assist in maintaining a clean and organized office environment.
  • Serve as a point of contact for internal and external communications.
  • Collaborate with team members to facilitate information flow.
  • Draft and edit internal and external communications.
  • Input and update data in various systems and databases.
  • Maintain accurate and up-to-date records.
  • Assist team members with any administrative or logistical needs.

Qualifications:
