REPORTS TO: Director of Campus Operations

POSITION TYPE: 11-month

START DATE: 26-27 School Year

COMPENSATION: $12.75-$15.85 per hour

THE ROLE

The Elementary Receptionist is the first point of contact for students, families, staff, and visitors. This role sets the tone for the entire campus by ensuring every interaction is warm, professional, and aligned with YES Prep’s culture of predictable excellence.

The Receptionist is responsible for maintaining a welcoming and organized front office, supporting attendance accuracy through real-time communication, and assisting with enrollment intake during high-volume seasons. This role is foundational within the operations team and provides an entry point for growth into the Operations Coordinator pathway.

  1. Front Office Operations and Family Experience

Front Desk & Visitor Management

  • Warmly greet all students, families, visitors, and staff with professionalism and positivity.
  • Manage visitor check-in using the district’s Raptor system.
  • Ensure that all visitors are properly badged and escorted (as needed).
  • Keep the front office clean, organized, and student-ready throughout the day.
  • Maintain a calm, orderly environment during high-volume times.

Phone & Communication Systems

  • Answer and route all phone calls with accuracy and urgency.
  • Maintain the campus voicemail system and ensure 24-hour response turnaround.
  • Provide clear, consistent information to families about campus procedures.
  • Support bilingual communication when possible.

Customer Service & Front Office Support

  • Support problem solving by triaging inquiries and routing to appropriate staff.
  • Provide accurate support to parents regarding daily logistics (dismissal changes, schedules, procedures).
  • Maintain professionalism and neutrality in all interactions.
  • Support front office readiness standards (signage, posted information, materials organization).

Tone & Culture

  • Model the campus’s expectations for warmth, professionalism, and predictable communication.
  • Promote efficient, respectful interactions with all members of the school community.
  1. Attendance Communication & Tardy Support

The receptionist plays a critical supporting role in daily attendance accuracy.

Tardy Management & Daily Attendance Flow

  • Check in tardy students and record information with accuracy.
  • Collect written absence notes and route them to the OC or registrar.
  • Support teachers and OC with real-time attendance communication.
  • Monitor high-volume morning and midday attendance traffic.

Family Communication

  • Communicate with families regarding attendance-related questions.
  • Relay attendance messages to OC/Registrar for follow-up.
  • Support positive attendance culture through consistent, warm communication.

Data & Compliance

  • Ensure accuracy of tardy and absence documentation.
  • Maintain confidentiality of all student records.
  • With Registrar verification, makes updates to SIS parent/guardian contact information
  1. Enrollment Intake and Family Support

Receptionist supports the front-end of the enrollment process.

Intake Responsibilities

  • Greet prospective families and provide initial onboarding information.
  • Schedule enrollment appointments in coordination with OC and registrar.
  • Collect preliminary documentation and pass it to the registrar for verification.
  • Maintain an organized intake space for new families.

Family Guidance & Communication

  • Provide basic guidance about enrollment steps, campus hours, and key contacts.
  • Route family questions to the appropriate owner (OC for communication, registrar for documentation).
  • Support OC in preparing materials for onboarding events and welcome activities.
  1. General Operations Support

The receptionist supports the DCO and OC with:

  • Real-time communication during arrival/dismissal
  • Helping maintain orderly hall traffic during busy front-office times
  • Updating posted operational information
  • Supporting urgent communication needs during campus emergencies following DCO protocols
  • Handling deliveries and routing materials appropriately

  • Strong command or word processing including exemplary spelling and grammar skills
  • Demonstrated ability to work on a team
