General Description:
This position supports Finance and Administration and the Material Management department by staffing the reception area and managing daily office tasks. The Operations Support Specialist will provide high-level customer service to staff, visitors, students and occupants of the College's facilities. Additionally, this position will organize and maintain filing systems for the department and review and route official requests for departmental approval.
This position is not eligible for telework.
Duties and Task :
  • Overseeing the daily meetings schedule
  • Maintaining conference rooms, greeting guests, distributing mail and responding to email.
  • Support the departmental which involves reviewing official requests for departmental approval and working with end users on required corrections, routing those requests for departmental approval, data entry, submitting work orders, submitting supply orders and payment requests, performing electronic receiving as necessary, and assisting the Office of Risk Management with obtaining and filing claim documentation.
  • Processes departmental forms with a high degree of accuracy, performing detailed data entry and managing time-sensitive tasks to ensure compliance with established deadlines
  • Managing administrative tasks spanning a variety of departmental programs, including but not limited to risk management, leased operations, inventory and receiving.
  • The administrative assistant will provide high-level customer service in a professional business environment and must be comfortable utilizing a multitude of computer software programs to perform daily tasks.
Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
