Position Overview

Alpha InJenuity, LLC is seeking two experienced Project Office Senior Administrative Assistant IV professionals to support the U.S. Navy Planning Yard at Puget Sound Naval Shipyard & Intermediate Maintenance Facility (PSNS & IMF). This position provides critical administrative and technical support for Navy ship modernization and maintenance programs by managing engineering documentation, tracking technical deliverables, maintaining configuration management databases, coordinating Liaison Action Records (LARs), supporting Ship Installation Drawing (SID) activities, and generating operational reports used to monitor ship availability schedules. A successful candidate is highly organized, detail-oriented, and comfortable working with engineering documentation, technical databases, and multiple Government information systems in a secure environment.


Key Responsibilities

Engineering Document Control

  • Process, review, and quality check Ship Installation Drawings (SIDs) in accordance with Planning Yard procedures
  • Coordinate issuance, tracking, and distribution of engineering drawings
  • Maintain drawing lifecycle status within Government systems
  • Convert and archive historical engineering documents into electronic repositories
  • Ensure documentation complies with NAVSEA and Planning Yard standards

Liaison Action Record (LAR) Management

  • Process incoming and outgoing Liaison Action Records (LARs)
  • Monitor LAR workflow within NSLC eLAR and Planning Yard applications
  • Track document status and coordinate timely processing with engineering teams
  • Maintain complete and accurate LAR records

Ship Configuration Management

  • Compile, update, and verify Ship Change Documents (SCDs)
  • Maintain accurate configuration data within the Planning Yard Document Information System (DIS)
  • Verify Ship Installation Drawing (SID) status associated with modernization activities
  • Update Planning Yard Integration Control Log (PYICL) records

Reporting & Data Management

Compile, validate, and generate recurring management reports supporting Navy ship modernization efforts, including:

  • Planning Yard Status Reports
  • Third Party SID Reports
  • Customer Document Schedule Reports
  • Incoming and Outgoing LAR Reports
  • Daily LAR Reports
  • Internal Drawing Issue Status Reports
  • DIS Activity Reports

Analyze data from multiple Navy information systems to ensure timely and accurate reporting.

Database Administration

Maintain records and data within Government systems, including:

  • Planning Yard Document Information System (DIS)
  • Planning Yard Applications (PYApps)
  • NSLC eLAR
  • Navy Data Environment (NDE)
  • Model Based Product Support (MBPS)
  • DoD SAFE

Administrative Support

  • Support Planning Yard engineers and project managers with technical administrative activities
  • Maintain accurate project records and documentation
  • Coordinate document processing priorities to meet project schedules
  • Perform additional administrative duties supporting Navy modernization efforts


Minimum Qualifications

  • High School Diploma or equivalent
  • Minimum 5–7 years of administrative support experience
  • Minimum 1 year supporting Navy modernization, ship maintenance, or related Department of the Navy programs
  • Minimum 5–7 years of experience using Microsoft Office applications and proficiency with: Microsoft Excel, Word, Access, and Project as well as Adobe Acrobat Pro
  • Strong organizational and document management skills
  • Exceptional attention to detail and data accuracy
  • Ability to prioritize multiple assignments while meeting deadlines
  • Strong written and verbal communication skills
  • Ability to work independently with minimal Government direction


Preferred Qualifications

  • Experience supporting NAVSEA, Naval Shipyards, or Planning Yard organizations
  • Familiarity with engineering drawings and technical documentation
  • Experience with Navy configuration management processes
  • Knowledge of ship modernization, maintenance availabilities, or engineering change documentation
  • Experience supporting secure Government IT environments


Security Requirements

  • U.S. Citizenship required
  • Active minimum Final Confidential security clearance required; SECRET security clearance preferred
  • This position requires 100% on-site support at Puget Sound Naval Shipyard & Intermediate Maintenance Facility. No remote or telework is authorized under this contract
