Definition
Definition: Under general supervision from the Fixed Asset/Warehouse Supervisor, the Mailroom Clerk is responsible for ensuring the efficient and organized operation of the mailroom and copy room. Handles, sorts, and distributes incoming and outgoing mail, packages, and documents. Performs printing services. This role requires attention to detail, strong organizational skills, and the ability to manage multiple tasks. This position is treated as FLSA Non-Exempt. This is a driving position.
Essential Functions: Essential functions may vary but may include the following tasks, knowledge, skills, abilities and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive listing of tasks performed by all positions in this classification.
Examples of Tasks
1. Mailroom
  • Receive, sort, and distribute incoming U.S. mail, interoffice mail, and packages from carriers.
  • Process and date stamp all incoming U.S. mail using the meter machine.
  • Maintain accurate logs and ensure packages are tracked and signed for.
  • Prepare/meter outgoing mail and packages using postage.
  • Perform the daily Two Waters complex mail delivery and Community government mail delivery.
  • Process printing and mailout requests, ensuring accuracy, proper formatting and timely completion.
    • Prepare digital files for bulk mail electronic output.
    • Assist with mailings and mail merges.
    • Operate digital printing and copying equipment.
  • Provide customer service support by assisting with walk-in print jobs and mailroom inquiries.
  • Perform preventive maintenance and troubleshoot copy/print/mail equipment and escalate service needs as appropriate.
  • Monitor supplies inventory; restock and replenish as needed.
  • Restock the copier located in the Finance Copy Room with toner and paper as needed.
  • Assist in tracking job costs and logging usage data for reports.

2. Warehouse (as needed)
  • Enter incoming deliveries into the Receiving Log.
  • Stage incoming orders for receipt processing.
  • Assist with general warehouse projects as assigned.
  • Deliver packages to departments.
  • Perform general warehouse cleaning as needed.
3. Miscellaneous
  • Performs other tasks as assigned by the Fixed Asset Warehouse Supervisor, Assistant Finance Director, and Finance Director.

Knowledge, Skills, Abilities, and Other Characteristics:
  • Knowledge of the history, culture, laws, customs, and traditions of the SRPMIC.
  • Knowledge of issuing manuals and automated systems.
  • Knowledge of appropriate safety requirements and corrective actions.
  • Knowledge of mailroom, inventory management, and documentation practices, including use of specialized mail tracking software.
  • Skill establishing and maintaining effective working relationships with co-workers and staff at all levels.
  • Skill with verbal and written communication, numbers, recordkeeping.
  • Skill using personal computer with MS Office (Word, Excel and Outlook Programs) and related software.
  • Skill with eye/hand coordination sufficient to operate equipment safely and to perform the essential functions of the position.
  • Skill in page layout principles, as well as the ability to scan, manipulate, and prepare artwork for electronic output.
  • Ability to perform a variety of mailroom and copy room related clerical work.
  • Ability to keep information confidential.
  • Ability to recognize safety hazards and to use all equipment appropriately.
  • Ability to lift and carry heavy objects up to 50 pounds when loading, unloading and stocking supplies.
  • Ability to work for extended periods of time performing activities that require stooping, reaching, lifting, pulling, crawling, and carrying items of 25 pounds or more.
  • Ability to climb ladders to stock shelves, etc

Minimum Qualifications
Education and Experience
  • High school graduate or GED equivalent.
  • At least 1-year experience in a mailroom, print shop, or customer service environment.
  • Working knowledge of print/copy equipment software and postal/shipping systems preferred.
  • Successful completion of a post-high school training program in inventory management, warehousing, or stocking-related curriculum may be substituted for 6 months of the required 1 year experience.

Equivalency
  • Any equivalent combination of education and/or experience that would allow the candidate to satisfactorily perform the duties of this position will be considered.
Underfill Eligibility
  • An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.

Special Requirements
  • Must possess and maintain a valid Arizona Driver's License.
