Our progressive, high-quality Endodontic office located in Novi, MI, is seeking a dynamic, motivated, positive, and highly organized Patient Experience & Marketing Coordinator to provide exceptional patient service while supporting the continued growth of our practice. This is a unique hybrid role combining front-office and patient coordination responsibilities with marketing, social media, referral relationship development, and community outreach.

You don’t need to be a marketing expert to succeed in this role. We’re looking for someone with an amazing personality, creative, professional, and comfortable connecting with both patients and referring dental offices. This individual will serve as an important face of the practice, helping patients understand their treatment and financial responsibilities while also building strong relationships within the dental community and supporting marketing initiatives that increase awareness and new patient referrals.

Front Desk & Patient Experience Responsibilities


• Greet patients with genuine warmth and professionalism, setting the tone for an outstanding visit from the moment they walk in.
• Answer and manage a multi-line phone system, directing calls with efficiency and a friendly, confident tone.
• Schedule, confirm, and manage patient appointments to maintain an optimized daily schedule.
• Verify insurance eligibility and benefits prior to appointments and communicate coverage details clearly to patients.
• Collect and process patient payments, co-pays, and balances with accuracy and sensitivity.
• Maintain and update patient records, ensuring accurate data entry and HIPAA-compliant documentation.
• Manage incoming and outgoing correspondence including faxes, emails, and referral communication.
• Coordinate with clinical team members to ensure smooth patient flow throughout the day.
• Handle patient inquiries, concerns, and follow-up calls with professionalism and care.
• Prepare end-of-day reports and reconcile daily transactions.
• Maintain a clean, organized, and welcoming front office environment.

Marketing & Growth Responsibilities

• Personally deliver monthly referral appreciation packages to referring dental offices, building genuine relationships in the community.
• Manage and grow our social media presence with engaging, on-brand content across all platforms.
• Bring creative ideas to practice promotion and social media that help increase awareness, engagement, and new patient referrals.

• Track referral and outreach activities and share ideas and feedback with the team.

• Coordinate internal and external communications that reflect the Advanced Endodontics brand.
• Identify new referral partnership opportunities and help nurture existing relationships.
• Support the planning and execution of community outreach and promotional events.

Education & Experience:


· High school diploma.

· Dental office front-desk, treatment coordination, or dental assisting experience will be considered first but not a deal breaker.

· Dental software literate. (We use EndoVision & Weave, experience is a plus!)

· Experience with social media, marketing, content creation, or community outreach preferred.

· Knowledge of general administrative and clerical procedures.
