Summary:

As a partner in building brighter futures for youth and their families, your role will be to assist with and facilitate administrative duties for your assigned program that align with The Village Network’s Mission, Vision & Values.

Essential Tasks, Duties, and Responsibilities:

  • Responsible for general office administration tasks including, but not limited to, typing, creating/maintaining correspondences, helps with mail services/distribution, faxing, placing ads, updating/developing recruitment materials or manuals, answering phones, taking accurate messages, seeking out information according to The Village Network policies and procedures for confidentiality.  Orders, stores, and distributes supplies, schedules tasks to assist reception/switchboard as needed, assists bookkeeping with information supplementation as needed, and assists payroll as needed. 
  • Maintains files relevant to each functional area (ex. donor files, patient files according to ODMH/ODADAS standards, petty cash account files, inputs/completes and updates CATT records, updates manuals for foster families, works with the State Automated Child Welfare Information System (SACWIS), processes reimbursements, etc.).  Files records as necessary.  Assists staff members as needed.  Audits files to ensure accuracy of input and continual maintenance of said files to ensure content is up-to-date.  Assures regular backup of the files.  Completes any additional paperwork, logs, or forms as needed. 
  • Performs other duties as required.

Knowledge, Skills, and Abilities:

  • Ability to use a computer; expertise in Word and Excel, with strong word processing speed; proficiency with other Microsoft Office products and Electronic Health Record (EHR). 
  • Completion of high school diploma/GED required; coursework or training in secretarial skills or 2-3 years administrative assistant experience necessary.  Expertise in phone skills, typing, and multi-tasking.
  • Excellent verbal and written communication skills; experience in phone communication and handling difficult individuals; willingness to work independently; ability to treat sensitive material with confidentiality.

Physical Demands:

  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a copy machine, computer printer, etc.
  • Ability to communicate (verbally and written) with all levels of personnel, internal and external to the company
  • Ability to handle bending, stooping, lifting, pushing, reaching, and walking for periods of time.
  • Must be able to lift 20 pounds independently
