We are seeking an Operations Manager who thrives in a hands-on environment, builds systems from scratch, and wants to play a key role in scaling a small business into a larger, more efficient organization.
About the role
The Operations Manager will serve as the right hand to the Owner, overseeing daily operations while building the processes, systems, and team structure needed for growth. This role is both strategic and hands-on - ideal for someone who enjoys solving problems, improving systems, and driving measurable results.
This is not a maintenance coordinator role - this is a business-building role.
What Success Looks Like
Within 12 months, you will:
  • Improve operational efficiencies that benefit staff, company and clients
  • Implement standardized systems and KPIs
  • Increase portfolio profitability
  • Reduce vacancy days and maintenance turnaround time
  • Help prepare the company to scale 2-3x over the next 3-5 years

Core Responsibilities
Growth & Scalability
  • Build and document standard operating procedures (SOPs)
  • Implement KPIs for leasing, maintenance, collections, and retention
  • Identify inefficiencies and drive continuous improvement
  • Integrate AI into operations and other new technology platforms
  • Support portfolio expansion through operational readiness
  • Support integration of new business units

Financial Performance
  • Assist in managing property-level budgets and cost controls
  • Monitor rent collection and delinquency trends
  • Improve NOI through expense management and revenue optimization
  • Review and approve vendor invoices and contracts
  • Assist in completing new proposals for clients

Maintenance & Vendor Oversight
  • Oversee work order flow and turnaround time as a KPI
  • Implement best practices related to preventative maintenance programs
  • Build a reliable, cost-effective vendor network
  • Negotiate pricing and service agreements

Team Leadership
  • Training of team in new technology and AI
  • Create accountability through performance metrics
  • Assist with hiring and training as we grow
  • Foster a culture of ownership and execution

Ideal Candidate
  • 3-7+ years in property management or real estate operations
  • Experience in a small or growing company preferred
  • Strong financial understanding (budgets, P&L, NOI)
