What this job involves:

JLL is hiring an experienced facilities management professional to lead the occupancy planning and move management strategy for a prominent energy sector client. across its portfolio. This role will be critical in building an exceptional relationship with the client and serving as a key contact. We will rely on your expertise to optimize space, drive process improvements and manage complex relocations while providing financial oversight to this area.

You will provide a "boots on the ground" perspective to the the facilities management team and client for all move activities, and ensures quality service delivery and acts as an effective "change agent" .

This role requires being on-site at the client's office (downtown) 5 days/week.

What your day-to-day will look like:

Occupancy Planning & Strategy

  • Analyze client portfolio and identify space optimization opportunities

  • Develop and implement occupancy strategies with CRE Leadership

  • Track headcount projections (1-3 year horizon) and forecast supply/capacity

  • Create Migration and Stack Plans; develop Regional Occupancy Plan of Record

  • Manage space allocation per master plans for relocations, remodeling, and rental space moves

  • Conduct Site Audit Data reviews (seat assignments, occupancy, vacancy) with Facilities Management

  • Apply and educate stakeholders on space policies, standards, and protocols

Move Management & Project Administration

  • Manage project staffing, scheduling, scope, and budgets; handle change orders proactively

  • Review and approve timesheets, invoices, and project reports for client submission

  • Facilitate project kick-offs with internal staff and stakeholders

  • Participate in quarterly budget reviews; maintain revenue status across multiple projects

  • Develop quality plans for each account; monitor service delivery results

  • Complete all internal project close-out activities and documentation

Relocation Execution

  • Manage all relocation activities: planning, scheduling, implementation, and post-move support

  • Ensure OP Playbook and RPM operations manual are current and followed

  • Prepare RFPs and manage vendor procurement (technology, telephony, furniture, etc.)

  • Evaluate vendor compliance with performance standards

  • Manage furniture plans, budgets, installation, and quality control through punch lists

  • Oversee CAFM system data input to maintain accurate occupancy information

  • Coordinate work orders, small projects, furniture reconfigurations, and space enhancements

  • Provide on-site move support: signage, directions, issue resolution

Client & Stakeholder Management

  • Serve as primary client relationship manager; represent JLL at leadership level

  • Manage expectations, provide constructive feedback, and identify improvement opportunities

  • Establish regular communication channels with clients, partners, and internal teams

  • Coordinate seamless transitions and facilitate clear communication across OP, RPM, and Facilities teams

Technical & Space Management

  • Work with platform support to maintain CAD/CAFM drawings and CAFM database with required detail

  • Coordinate updates to record drawings as spaces are remodeled

  • Track and report floor occupancy by department for cost allocation

  • Support design of productive workspaces aligned with organizational objectives

  • Manage asset divestment when buildings are sold or vacated

Required Qualifications:

Experience:

  • 6+ years in occupancy planning, facility, project, or construction management in Corporate Real Estate

  • Background in occupancy planning, project management, construction, architecture, or strategy planning preferred

Technical Skills:

  • Proficient in CAD/CAFM technology with move management module and/or facilities management systems

  • Strong Microsoft Excel, Project, and Office Suite skills

  • Working knowledge of architectural drawings, furniture planning, and space planning concepts

  • Understanding of RFP/RFQ documents, contracts, and proposal terminology

Other Requirements:

  • 5 days on-site per week required

  • Flexibility with work hours and travel as needed

  • Ability to drive to client sites within region

  • Must work outside normal business hours when required

  • Physical ability to walk distances, stand extended periods, stoop, kneel, crouch, crawl

  • Ability to lift/carry 25 lbs regularly; occasionally lift/move 10-50 lbs

  • May occasionally work in outside weather conditions
