Welcome to Inspired Living, we're seeking a Sales and Marketing Assistant (Move-in Coordinator) for our Inspired Living senior community in Alpharetta, GA

The Move-in Coordinator is responsible for all move-in and transfer activities of a given managed community including managing all move-in activities required from processing inquiry to move-in. This position also acts as back up for Director, Sales and Marketing, performing tours, follow up calls and assisting in coordinating and hosting marketing events to promote the community to the public at large.

Responsibilities:

  1. Manages the move-in process for new residents as well as residents transferring within the community. Schedules and coordinates the move-ins and transfers, provides and coordinates all necessary paperwork to be completed prior to move-in, coordinates with all departments the details pertaining to their department, ensures apartments are ready and turned in a timely manner, creates and completes a resident orientation to the services at the community, ensures all medically necessary orders and paperwork are communicated to the appropriate staff and department heads.
  2. Manages resident and family communication and coordination of arrival/removal of furniture and personal items. Coordinates arrival day with movers and family member; organizes and hosts housewarming for new residents.
  3. Assists the Director, Sales and Marketing in giving tours, cultivating leads, and taking deposits. Uses computer programs supplied by the managing company in order to track capture, cultivation and closing of leads. Reviews obstacles with the managing company weekly in order to find ways to maintain high occupancy.
  4. Assists with ensuring collateral materials are available for marketing use, model apartments are ready to show, develops and maintains a marketing tour book for the community, takes deposits. Knows the system for completing daily and weekly marketing reports and serves as backup for sending those reports to appropriate home office personnel.
  5. Assists with the planning of community events to promote the services of the community and to gather new inquiries appropriate for residency. These events should focus on the community's target population with a desired outcome in acquiring new names and contact information for follow up. Measures the effectiveness of these programs to provide direction for future events.
  6. Ensures they and any employees reporting to them work in a safe manner and that unsafe actions are to be managed. Notifies appropriate trained staff should they witness residents requiring assistance. Compliant with Safety Committee Standards is required. Should workplace injuries occur, the Department Heads and Directors should assist the Executive Director when required with the investigation, return to work, and management of the injured worker communication with care provider and the managing company.
  7. Fosters teamwork with co-workers, shows initiative in overcoming obstacles, takes actions that assist others beyond job responsibilities, and has a positive impact on co-workers, residents and visitors.
  8. Performs other duties as assigned or needed.

Required Skills and Experience:

  • High School Diploma or equivalent required.
  • Customer service, marketing or sales experience is required.
  • Experience with Microsoft Word and Excel preferred.
  • Strong interpersonal, organizational, negotiation, and mediation skills.
  • Self-motivated, professional and personable.
  • Excellent verbal and written communication skills.
