Job description

POSITION SUMMARY
As an In-House Marketing Coordinator, you will be responsible for the preparation and smooth transition of new residents into the community. You will communicate with prospective residents and their family members, moving companies, maintenance, and housekeeping. You will serve as the point person for every move from start to finish, working closely with the sales team and management.
ESSENTIAL DUTIES AND RESPONSIBILITIES
In addition to all components of the above position summary the following "Essential Duties and Responsibilities" are essential to successful performance in this position
  • Serves as the primary contact for community tours
  • Assists with ensuring collateral materials are available for marketing use, show rooms are ready to show, develops and maintains a marketing tour book for the community, takes deposits
  • Collects all necessary paperwork required for closing and distributes the paperwork to the necessary stakeholders
  • Works in conjunction with the other team members to ensure accurate reporting of occupancy, reservations and upcoming move-outs
  • Prepares closing documentation and internal communication timely and accurately
  • Works with Operations to ensure available inventory is show ready for Marketing Director
  • Ensure room readiness, purchase resident supplies, bedding, decor, lamps
  • Make room and mailbox keys
  • Make welcome signs on the doors and name tags for door plaques
  • Completely and accurately follow the new move-in checklist
  • Prepare all necessary paperwork and build the new resident administrative file
  • Create and maintain the Resident Directory
  • Coordinate introductions to department heads at the community
  • Regularly checks in on the new resident on a weekly basis

SUPERVISORY RESPONSIBILITIES
The incumbent in this position has no supervisory responsibilities
EDUCATION/EXPERIENCE/CREDENTIALS
  • Bachelor's degree preferred, but a history of administrative work experience is a perfect substitute
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in CRM software and Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Creative thinking and problem-solving abilities.
  • Knowledge of social media platforms and trends.
