Mid-Level Office Administrator (Office Administration)

The Boeing Global Services (BGS) team is seeking a Mid-Level Office Administrator to support our site team in Fort Walton Beach, FL. A well-qualified individual will be instrumental in achieving business objectives through high quality administrative support. Qualified candidates must be able to demonstrate great working relationships with peers, senior managers and subordinates with strong collaboration, communication and people skills, using discretion and initiative to perform the responsibilities outlined below.

Position Responsibilities:

  • Prioritization and coordination of day-to-day internal office schedules and reconciling schedule conflicts with multiple other senior executives and managers for efficient use of time.
  • Planning and implementing logistics for executive-level internal and external events.
  • Coordinating and processing a high volume of domestic and international travel arrangements.
  • Monitors designated business travel logistics, generates expense reports, and assists in reconciling corporate credit card to ensure timely and accurate reimbursement.
  • Collects and compiles data to provide visibility of status for review and/or signature.
  • Verifies payments to corporate credit card.
  • Tracks and maintains information relative to department and business operations.
  • Verbally communicates a wide variety of information to multiple audiences. Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Creates, edits, and maintains electronic and written communication requiring Word, PowerPoint, Excel, Outlook, and SharePoint knowledge.
  • Position will include additional responsibilities such as coordination of events, special assignments, etc.
  • Coordinates with the appropriate focal(s) to support the acquisition, maintenance, and efficient use of resources; orders and maintains office supplies.
  • Schedules conference rooms and provides videoconference/Teams support.
  • Coordination and maintenance of executive and employee seating assignments with internal Boeing facilities focals.
  • Records Information Management.
  • Facilities support for printers, equipment, keys, mail, conference rooms.
  • Enterprise-wide catering ordering for meetings and events.
  • Partnering with other administrative support within the Corporate HR organization, including backup support when necessary.

Basic Qualifications (Required Skills/Experience):

  • 3+ years of experience being an Office Administrator.
  • 3+ years of experience supporting calendars, travel and meetings for higher level management.
  • 3+ years of experience making domestic and/or international travel arrangements and generating expense reports.
  • 3+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint.

Preferred Qualifications (Desired Skills/Experience):

  • Aerospace experience.
