Job description

Micro Centers' Sr. Manager
The Senior Micro Centers' Manager is responsible for overseeing the planning, implementation, monitoring, and continuous improvement of all activities and operations at the Micro Centers within Legacy and KIPP programs. This role involves managing day-to-day center activities, supervising staff, ensuring compliance, and fostering community engagement. The responsibilities are divided into pedagogical, administrative, and leadership categories. The Senior Micro Centers' Manager is also expected to be on-site a minimum of two days each week at each Micro Center to ensure direct oversight and support, including providing coverage in classrooms as needed. This is not a field- based position, therefore consistent and daily onsite presence at each location is mandatory and expected for this role.
Administrative Responsibilities:
  1. Staff Management amp; Development​
    • Supervise, mentor, and provide reflective supervision to staff, ensuring high-quality performance and professional growth.
    • Ensure that the staffing structure supports program goals and meets licensing and regulatory standards.
    • Monitor daily staffing ratios, approve time off requests, and create weekly/monthly staffing schedules to ensure adequate coverage.
    • Lead the orientation and training process for new Micro Centers staff, ensuring they understand the program's mission, philosophy, and operational procedures.
    • Foster a supportive, growth-oriented environment by setting SMART goals, providing feedback, facilitating staff development opportunities.
    • Manage staff retention strategies by creating an inclusive and support work environment.
  2. Program Monitoring amp; Compliance
    • ​In collaboration with the Senior Director of Community-Based Program, manage quarterly and annual eligibility audits and ensure compliance with DFSS lt; DCFS, OHS and other regulatory bodies.
    • Generate and monitor program reports on enrollment, attendance, service delivery, and meal counts to ensure adherence to all policies and regulatory requirements.
    • Ensure the program complies with all staff-to-child ratios, licensing requirements, and provides a safe and healthy physical environment.
    • Monitor and maintain accurate and timely documentation of all program activities, as required by applicable regulatory bodies and funding agencies.
  3. Resource Management
    • ​Oversee program budgets in collaboration with the Senior Director, ensuring financial compliance and alignment with program goals.
    • Advocate for resources to enhance program quality and ensure the development and review of budgets reflect the needs of the Micro Centers.
    • Assist with procurement and resource allocation, ensuring the program maintains a well-equipped and safe environment for children, staff, and families.
Pedagogical Responsibilities:
  1. Program Planning amp; Curriculum Implementation
    • ​Lead the development and execution of daily, developmentally appropriate programs and activities, including educational components, enrichment programs, field trips, and special events for all age groups at the Micro Centers.
    • Analyze data from prior year assessments (e.g., program self-assessments, community assessments, child outcomes) to create effective and realistic program plans addressing areas of need.
    • Collaborate with center staff to improve service delivery through mentoring training and provide technical assistance on best practices and teaching strategies.
    • Ensure that all activities align with developmental standards and meet the needs of the children and families served at the Micro Centers.
  2. Classroom Support amp; Coverage
    • ​Provide direct classroom coverage and support in cases of staff absence, high workload, or when immediate support is needed. ensuring that educational and developmental standards are met during these times.
    • Assist teachers in the classroom as needed, offering guidance, modeling effective teaching practices and providing hands-on support to maintain the quality-of-service delivery.
    • Ensure that classroom environments are conducive to learning and meet all safety and developmental requirements.
Parent amp; Family Engagement:
  1. Family Engagement and Decision-Making
    • ​Engage families in the decision-making process by ensuring they have access to relevant opportunities, such as policy group meetings and family committees.
    • Work closely with the Senior Family Support Specialist to ensure strong communication and coordination between family support services and Micro Center programming. This ensures families are consistently informed and encouraged to participate in these decisions-making opportunities.
  2. Regular Communication with Families
    • ​Collaborate with the Senior Family Support Specialist to conduct regular meetings with families, providing written monthly updates regarding programming, curriculum plans, and important programs policies.
    • Ensure that families are informed about important updates and changes, addressing their questions or concerns in a timely manner
  3. Family-Center Activities
    • Work with the Senior Family Support Specialist to organize fields trips, special events, and other activities based on family feedback and needs.
    • Ensure that these activities are aligned with both the program's educational goals and family preferences to strengthen the connection between home and school.
Child amp; Family Support:
  1. Maintaining Accurate Records:
    • ​Collaborate with the Family Support Specialist team to ensure that all child and family records are kept up to date and meet regulatory standards, including health records, attendance, and eligibility documents.
    • Collaborate with the Senior Family Support Specialist team to ensure that all child and family records are properly managed, ensuring compliance with all legal and regulatory requirements.
  2. Eligibility Determinations amp; Follow-Up
    • ​Work closely with the Family Support Specialist team to support families through eligibility determinations, ensuring all documentation is accurate and submitted within required timelines.
    • Ensure that families are supported throughout the eligibility process and follow-up actions are completed to meet program requirements.
  3. Coordinating Family Support Services
    • ​Collaborate with the Family Support Specialist team to ensure that families are connected to all available support services. This includes ensuring that families are aware of available resources and assisting them in accessing external service as needed.
Leadership Responsibilities:
  1. Vision amp; Strategy
    • ​Foster a culture of inquiry and continuous improvement, encouraging staff to stay current on research and best practices related to early childhood education and community-based programming.
  2. Communication amp; Collaboration
    • ​Build and maintain partnership with KIPP and Legacy, aligning with the Center's mission and values.
    • Act as one of the key contacts between the Center, KIPP, and Legacy to foster ongoing collaboration.
    • Represent the Center at events and meetings, strengthening relationships and brand presence.
    • Provide feedback to leadership on partnership performance and opportunities for improvement.
    • Build and Foster understanding of the mission and goals of the Micro Centers to staff, families, and external partners.
    • Ensure open, transparent, and respectful communication within the Micro Centers team, with families, and with community stakeholders.
    • Demonstrate cultural competence and flexibility in communication, ensuring materials and messaging are accessible to all families, including those with limited literacy of English language learners.
    • Collaborate with the Senior Family Support Specialist to ensure the integration of family-focused strategies within the Micro Center's creating cohesive systems that support both child development and family engagement.
  3. Community Engagement amp; Representation
    • ​Represent the Micro Centers to external stakeholders, including potential funders, by conducting program tours and presentations.
    • Cultivate strong relationships with local organizations, community members, and government bodies to enhance support for the Micro Centers.
    • Promote the program's commitment to diversity, inclusion, and family empowerment by ensuring all activities and communications reflect community values.
  4. Professional Development amp; Growth
    • ​Lead by example in maintaining high standards of professionalism, ethics and self-reflection.

Additional Responsibilities:

  • On-Site Presence: Ensure a minimum of three days per week on site at each Micro Center to oversee daily operations, provide support, and engage directly with staff, families, and children. This includes providing classroom coverage as needed, ensuring a high-quality environment for learning, and addressing any immediate needs that arise on-site.
Qualifications:
Applicants for the position of Micro Center's Sr. Manager must possess a Bachelor's in Early Education/ Child Development, Education, or related field. Degrees attained in other fields must include credits in ECE/Child Development that are equivalent to a major (minimum 36 credits) in the field.
