Role Purpose

The Document Rationalization & Policy / Template Specialist is responsible for leading the assessment, consolidation, standardization, and redesign of procurement, legal, policy, and operational documentation. The role focuses on creating streamlined, governance-aligned document libraries, standardized templates, reusable content structures, and maintenance-ready documentation frameworks that improve consistency, compliance, usability, and operational efficiency.

Key Responsibilities

Document Inventory and Assessment

  • Conduct comprehensive inventories of existing business documents, templates, forms, policies, procedures, RFx artifacts, and related materials.
  • Analyze document usage, ownership, lifecycle status, and business relevance.
  • Identify duplication, overlap, obsolete content, inconsistencies, and documentation gaps.
  • Assess document alignment with organizational policies, procurement objectives, and governance requirements.

Document Rationalization and Consolidation

  • Lead document rationalization initiatives to reduce redundancy and improve content efficiency.
  • Consolidate templates, forms, clauses, policies, and supporting documentation into standardized frameworks.
  • Develop content hierarchies and document structures that improve accessibility and maintainability.
  • Establish reusable clause libraries and modular content components where appropriate.

Template and Content Design

  • Draft and redesign standardized document templates for procurement, sourcing, legal, policy, and operational functions.
  • Create consistent document structures, formatting standards, metadata requirements, and naming conventions.
  • Develop user-friendly templates that support operational adoption and compliance.
  • Ensure documents are scalable, maintainable, and aligned with document governance principles.

Standards and Governance

  • Develop template governance frameworks, usage guidelines, and document management standards.
  • Establish document naming conventions, version control practices, and content maintenance procedures.
  • Define quality assurance standards for document creation, review, approval, and publication.
  • Support the implementation of documentation governance and lifecycle management processes.

Stakeholder Collaboration

  • Engage business, procurement, legal, compliance, and operational stakeholders to gather requirements and validate content.
  • Facilitate document review workshops and content validation sessions.
  • Incorporate stakeholder feedback into standardized templates and documentation frameworks.
  • Support organizational change and adoption of new documentation standards.

Deliverable Development

  • Prepare implementation-ready document libraries and template repositories.

  • Ensure all deliverables meet organizational quality and compliance standards.

Required Qualifications

  • Bachelor s degree in Business Administration, Public Administration, Law, Communications, Information Management, or a related field.
  • 5+ years of experience in document management, policy development, template standardization, content governance, procurement documentation, or related disciplines.
  • Strong experience reviewing, editing, consolidating, and restructuring complex business documentation.
  • Demonstrated ability to create professional templates, document standards, and governance frameworks.
  • Excellent written communication, editing, proofreading, and document design skills.

Preferred Qualifications

  • Experience with policy, contract, RFx, procurement, or legal document standardization initiatives.
  • Experience working within public sector, government, regulated, or compliance-driven environments.
  • Familiarity with procurement and sourcing documentation practices.
  • Knowledge of document management systems, content governance frameworks, and records management principles.
