Reports to: Practice Owner(s)

Position Overview

The Aesthetic & Wellness Coordinator is the heartbeat of the patient experience and the growth engine of the practice. This role blends luxury front-of-house leadership, sales & scheduling excellence, and patient relationship management to ensure our providers’ schedules stay full, optimized, and profitable — while every patient feels seen, guided, and cared for.

This role is perfect for someone who thrives in high-end environments, loves helping people feel confident, and understands that every conversation is an opportunity to change a life — and grow a practice. This position is for Robb Facial Plastics, SECOND, NEW med spa location.

You are building relationships, converting consultations, retaining patients, and driving revenue.

Core Responsibilities

Front Desk Leadership & Patient Experience

• Serve as the face and voice of the medspa for every patient — in person, on the phone, text, and email.
• Lead, train, and hold the front desk team accountable to luxury-level service standards.
• Manage patient flow, wait times, and communication so the experience always feels seamless and high-end.

Scheduling & Provider Book Optimization

You are responsible for keeping providers fully booked and their time maximized. 95% of your time spent should be communicating with patients - on the phone, in-person, and via text and email.

• Own the schedule:
• Fill cancellations
• Backfill no-shows
• Convert waitlists into visits
• Eliminate gaps
• Proactively move patients into:
• Open appointment slots
• Higher-value treatments
• Memberships and packages
• Track utilization and take action when any provider’s book is under-filled.

Consult Conversion & Revenue Growth

You help turn interest into action.

• Conduct warm, confident conversations with patients about:
• Aesthetic treatments
• Wellness programs
• Memberships
• Treatment plans
• Support providers by:
• Reinforcing treatment recommendations
• Explaining packages and pricing
• Removing hesitation and confusion
• Drive conversion from:
• Consult → treatment
• Treatment → plan
• Plan → long-term patient relationship

Memberships, Packages & Retention

• Enroll patients into RefreshMD memberships and programs.
• Ensure patients stay active, engaged, and returning.
• Follow up on:
• Unscheduled consults
• Lapsed patients
• Incomplete treatment plans
• Be responsible for patient retention and lifetime value.

Sales & KPI Accountability

You will be measured on real performance — not just effort.

Key metrics include:

• Provider utilization
• Schedule fill rate
• Consult-to-treatment conversion
• Membership enrollments
• Rebooking percentage
• Revenue per patient

Experience & Skills

• 2+ years in aesthetics, med-spa, plastic surgery, or luxury healthcare preferred
• Sales, hospitality, or high-touch client service experience strongly preferred
• EMR, scheduling, and CRM experience a plus
• Strong communication, follow-up, and organization skills
