Medical Records Specialist
Oregon SurgiCenter has a full-time Medical Records Specialist opportunity available.
Oregon SurgiCenter is one of the largest, most advanced urological centers in the Northwest. Oregon Urology Institute provides patients with some of the region's finest medical experts covering every major urological specialty using proven and leading-edge technologies. Oregon SurgiCenter is an outpatient surgery center devoted to urological procedures.
Position Overview
The Medical Records Specialist is responsible for overseeing medical records and managing how they are processed, maintained, stored, retrieved, and distributed in a timely and confidential manner to preserve the integrity of patient health information.
Key Responsibilities: Maintains the patient medical record chart to ensure accuracy of filed documentation (i.e., appropriate signatures, times, and dates). Responsible for ensuring the medical chart is complete and audited.
Duties and Responsibilities
  • Reviews charts following surgery and checks for completeness.
  • Provides follow-up of missing components of the patient medical record when needed.
  • Acquires attending physician's signature of operative report and maintains the operative report log.
  • Serves as a resource person to the Front Office Lead, Medical Director, and Clinical Director for medical record information needed for committee review or action.
  • Acts on requests by patients, legal entities, or physicians for copies of medical records in a timely and appropriate manner, ensuring proper authorization is obtained. Maintains a log regarding patient and/or legal requests.
  • Maintains a safe and secure filing system for medical records.
  • Protects the patient's and Center's rights to privacy and confidentiality by preventing unauthorized persons from accessing patient medical records or Center information. Ensures HIPAA guidelines are strictly followed.
  • Performs audits of facility charts on a regular basis for completeness and accuracy.
  • Assists with pre-registration of patients and chart preparation as needed.
  • Assists with facility patient scheduling as needed.
  • Participates in the Quality Improvement process and activities, including the areas of Safety, Medical Records Maintenance, Patient Satisfaction, Physician Satisfaction, Documentation, Peer Review, Compliance with OSHA Standards, and Risk Management.
  • Assists in the maintenance of a safe and secure environment for patients, visitors, and employees.

Required Qualifications
  • Possesses strong initiative to get daily work finished and processed.
  • Ability to communicate effectively with patients, physicians, and other staff members.
  • Possesses accurate judgment, especially when dealing with patients.
  • Versatile and willing to coordinate with and participate in all other aspects of the Business Office when necessary.
  • Courteous, understanding, and sympathetic toward patients, physicians, and others.
  • Participates in Quality Improvement activities.
  • Maintains CPR certification.
  • Ability to set priorities and work independently.
  • Excellent telephone, communication, and patient service skills.
  • Provides cross-coverage of other business office jobs willingly and efficiently, dealing with issues in a cognizant, logical, and timely manner.
  • Assists other members of the Surgery Center staff (nursing, medical, business office) in a pleasant and efficient manner.
  • Relates to doctors' office staff, patients, and the public in a pleasant and helpful manner.
  • Supports the mission and goals of the Surgery Center.
  • Exceptional attention to detail and strong organizational skills.
  • Performs other related duties as required.

Preferred Qualifications
  • 1+ years of relevant medical experience or equivalent.
  • High school diploma or equivalent.
  • Knowledge of medical terminology is desirable.
  • Strong interpersonal skills.
  • Strong communication skills, both verbal and written.
  • Flexible mindset and a quick learner.
  • Experience working in a Windows-based EMR/PM system.
