Receptionist

ASPYRE of Waukegan is seeking a friendly, professional, and organized Receptionist to join our team. As the first point of contact for residents, visitors, families, and staff, the Receptionist plays a vital role in creating a welcoming environment while providing administrative support to ensure the smooth operation of the facility.

Key Responsibilities

  • Greet residents, visitors, vendors, and staff in a courteous and professional manner

  • Answer and direct incoming phone calls promptly and accurately

  • Receive and distribute mail, packages, and deliveries

  • Maintain visitor sign-in procedures and ensure compliance with facility policies

  • Provide general administrative support, including filing, copying, scanning, and data entry

  • Assist residents and families by providing information and directing inquiries to the appropriate department

  • Maintain organized reception and lobby areas

  • Schedule appointments and assist with meeting room coordination as needed

  • Monitor office supplies and notify management when replenishment is needed

  • Support various departments with clerical tasks as assigned

  • Maintain confidentiality of resident and facility information in accordance with HIPAA regulations

  • Perform other administrative duties as assigned

Qualifications

  • High school diploma or equivalent required

  • Previous receptionist, administrative, or customer service experience preferred
